Project Assistant

The Education and Livelihood Project Assistant provides administrative, logistical, and field support to ensure the smooth implementation of education and livelihood activities, including Competency based Training, Cash for Work, Advanced Training, Youth Basic Literacy and Numeracy, and Business establishment. 

The role supports day-to-day implementation through tracking activities, maintaining documentation, coordinating with field teams and partners, and assisting in basic reporting tasks. The Project Assistant ensures accurate record-keeping, timely follow-up of operational tasks, and contributes to smooth communication flow and compliance with project and donor requirements.

KEY RESPONSIBILITIES:

  • Assist in tracking project activities and maintaining updated records related to outreach, participant selection, training activities, and follow-up processes.
  • Prepare and organize standard forms, templates, attendance sheets, and reporting tools required for project implementation and documentation.
  • Maintain accurate and organized filing systems, participant records, and project documentation in line with established procedures.
  • Provide administrative and logistical support for trainings, meetings, field visits, and other project-related activities.
  • Coordinate with the Grants team to follow up on partner documentation and support tracking of deliverables in line with project requirements.
  • Support the MEAL team with basic data collection, data entry, cleaning, and organization for project monitoring purposes.
  • Assist in drafting internal updates, meeting notes, field visit summaries, and presentation materials using standard formats and templates.
  • Coordinate with the Communications team to collect basic field information, participant feedback, and success story inputs for project visibility purposes.
  • Perform additional duties as assigned by the Program Manager and Project Manager. 

 

QUALIFICATIONS and COMPETENCIES

  • Relevant higher national diploma or university degree or other advanced technical qualifications in Social Sciences, Business Administration, Development Studies, Education, or a related field.
  • Approximately 2 years of experience in administrative, project support, or NGO work (internships accepted) for education, livelihoods, or youth programming.
  • Strong organizational and administrative skills
  • Good attention to detail and accuracy
  • Basic writing skills
  • Ability to work in a team 
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google.
  • Ability to manage multiple tasks in a fast-paced environment
  • Understanding of confidentiality and safeguarding principles is an advantage
