Site Management Coordination (SMC) Information Management Officer

Job Purpose

The SMC Information Management (IM) Officer, under the supervision of the Project Manager, is responsible for supporting Site Management & Coordination (SMC) teams in the collection, processing, analysis, and dissemination of accurate and timely information related to IDP sites. The IM Officer ensures the development and implementation of tools, systems, and processes that support data-driven decision making, service coordination, and accountability to affected populations. The role combines both strategic information management functions and operational site-level support, ensuring consistency, quality, and usability of data across all sites. The IM Officer also ensures that information is effectively communicated to humanitarian partners, clusters/sectors, and site populations, while maintaining confidentiality and data protection standards   

Objective

 

 

  • Ensure systems, tools, and capacities are in place for accurate and timely data collection, storage, analysis, and reporting
  • Support evidence-based programming through quality information products
  • Maintain up-to-date site-level information (population, services, needs, gaps)
  • Ensure effective information sharing with stakeholders and communities
  • Promote accountability through transparent and accessible information dissemination
  • Ensure data confidentiality and protection standards are respected

Responsibilities

Data quality and management

  • Design, adapt, and maintain data collection tools (ODK/Kobo, paper forms, etc.)
  • Ensure consistency, quality, and harmonization of data across all sites
  • Review, clean, validate, and maintain databases
  • Ensure standardized templates and tools are used by all teams
  • Maintain centralized and up-to-date databases for all site-related information

 

Site-Level IM Outputs

  • Maintain and regularly update:
    • 4Ws / service mapping
    • Site profiles
    • Population data and statistics
    • Service provider directories
  • Track and report population movements (arrivals, departures, relocations)
  • Ensure all assessed sites have complete documentation and IM tools
  • Maintain and update camp/service maps

 

Analysis, reporting, and communication

  • Conduct quantitative and qualitative data analysis
  • Produce regular internal and external reports (including cluster reporting)
  • Develop dashboards, maps, and other IM products
  • Compile narrative reports based on site monitoring and community engagement
  • Ensure timely dissemination of reports to stakeholders

 

Information Sharing and Communication

  • Ensure regular information sharing with partners, clusters, and stakeholders
  • Support the flow of information between field teams and MEAL department
  • Ensure availability of key information products (maps, statistics, reports)
  • Ensure structured communication of urgent or critical information

 

Coordination and Meeting Support

  • Take minutes of coordination and site-level meetings
  • Share meeting outputs with stakeholders in a timely manner
  • Support coordination processes with accurate and updated information

 

Accountability, Confidentiality, and Compliance

  • Ensure data confidentiality and protection protocols are applied
  • Ensure compliance with internal IM and MEAL procedures
  • Support audits and data verification processes

 

Capacity Building and Supervision

  • Supervise and support IM/Database Assistant(s)
  • Provide training to field teams on data collection, tools, and processes
  • Strengthen staff capacity on IM best practices and tools

 

Support to Multi-Sectoral Activities

  • Provide IM support to WASH, Shelter, and other sector teams
  • Support assessments, monitoring, and evaluations
  • Collaborate in the development of tools and products for multi-sectoral use

Other Duties

  • Perform any additional tasks as assigned by the Project Manager / Coordinator

 

Job Requirement (Qualification and Experience)

  1. Required:
  • Bachelor’s degree in information management, GIS, Statistics, or related field (or equivalent experience),
  • Minimum 2 years of experience in Information Management or data-related roles,
  • Proficiency in Microsoft Office (especially Excel),
  • Experience using ODK/Kobo or similar tools,
  • Strong data analysis and database management skills,
  • Excellent organizational and time management skills,
  • Strong attention to detail,
  • Ability to work independently in a cross-cultural environment,
  • Fluency in English and Arabic (written and spoken).
  1. Desired:
  • Experience with NGOs or humanitarian organizations
  • Experience in GIS and mapping
  • Experience in CCCM/SMC or humanitarian coordination
  • Supervisory or team management experience (incl. enumerators)
  • Ability to translate tools and questionnaires
