RESPONSIBILITIES
The Database Assistant bears full responsibility for accurate and efficient management of all data coming from the field activities, as well as provides support to the Program teams with the data monitoring, and databasesformat development, completion and processing. Moreover, the Database Assistant is responsible for the good organization and filing of program databases archives, as well as for producing accurate and timely reports on program activities and beneficiary numbers.
Detailed responsibilities include:
Database processing and management:
To provide AMEU, program, reporting and GIS units with relevant and accurate data outputs upon request;
To develop beneficiary databases templates and contribute to the effective use of the templates by the program teams
To maintain up-to-date databases as required, including across all relevant programs and supporting all relevant departments / units
To code project-related questionnaires / forms using the software Open Data Kit and perform data extractions from the online ONA platform, upon request from AME manager and AME officers
To ensure that up-to-date files are comprehensively stored electronically on the internal server in an organized and coherent way and files containing beneficiary data are password-protected, in line with ACTED’s data protection policy
Data quality verification
To check the quality of the data submitted by field staff and timely liaise with the AMEM and the field staff regarding missing data, eventual mistakes, data discrepancies and/or inconsistencies (e.g. lack of transparency, lack of accuracy, not in line with donor requirements, etc.)
To clean data collected during assessments and flag any issues to the relevant departments
To process and verify all data and information from field – in particular ensure quality, consistency, accuracy, coherence, comprehensiveness the data. Upon request from AME manager, this may include verifying the matching between existing hard copies and submitted soft copies;
Provide regular and timely updates on progress and challenges to supervisors and other team members
Perform any other related activities as assigned by immediate supervisor
Required personal qualities
The Database Assistant will be appraised on his/her demonstration of the qualities and competencies listed below as well as from carrying out of the duties in the previous section.
Required qualifications and experience
BA, BSc on Computer Science, Information Management Systems (IMS) or related field, or relevant, MA, MSc;
Solid competencies in Excel is strongly desirable.
Fluency in Arabic and English is required (particularly written).
Prior knowledge of ODK is preferred
Experience working in international NGOs and/or UN in a similar position preferred;
Required personal qualities
Understanding the nature of work carried out by programs is necessary for ensuring the relevance and usability of the data entered. Therefore a proactive and self-motivated attitude towards gaining a good understanding of ACTED programs is essential.
Willingness to learn and capacity to innovate; Database Assistant must be inventive and eager to improve his/her own skills, and be capable to adapt, shape and develop data processing tools best suited for ACTED’s activities;
Good organizational skills and ability to perform data processing tasks required rigorously.
