Database Assistant (Lebanese Nationals Only)

Assignment

The Database Assistant bears full responsibility for maintaining accurate and complete databases of all ACTED programme and AME data. He/she will perform data entry, data cleansing, and accurate filing of all processed documents, as well as support in data analysis and reporting requirements

 

The Database Assistant bears full responsibility for accurate and efficient management of all data coming from the field activities.  The data entry supports the Program Manager in data collection, data monitoring, supporting all the teams in terms of format development, completion and processing. Moreover, the Database Assistant is responsible for the good organization and filing of program archives, as well as for producing accurate and timely reports on program activities.

 

Detailed responsibilities include:

 

  1. Data processing and management:
  • To enter all data and figures as requested accurately and rapidly.
  • To provide AMEU, program, reporting and GIS units with data outputs upon request;
  • To maintain up-to-date databases as required, including across all relevant programs and supporting all relevant departments / units
  • To collect all documents needed for the database and enter each beneficiary into the project database for projects.

 

  1. AMEU / Program Support
  • To support Programme/AMEU with data collection and/or entry as required
  • To support AMEU with data analysis and reporting when called upon
  • To support in GIS tasks as requested
  • To process data and information from field – in particular ensure quality, consistency, accuracy, truthfulness, comprehensiveness of all distribution data;
  • To support in the preparation of all reports(through data processing or data analysis) upon request by Program Manager, AMEU Officer or the Program Development Officer.
  • Processing documents for activities (list of participants, etc) and contribute to preparations and organisation of activities;
  • Supporting ACTED staff in the execution of all necessary project activities, including administrative and logistical support;

 

  1. Filing
  • To ensure that up-to-date files are maintained, both electronically and in paper form;
  • To perform accurate filing of all processed documents, monthly consolidated filing of key project documents in his/her area offices.

 

Required personal qualities

 

The Database Assistant will be appraised on his/her demonstration of the qualities and competencies listed below as well as from carrying out of the duties in the previous section.

 

  • Understanding the nature of work carried out by programs is necessary for ensuring the relevance and usability of the data entered. Therefore a proactive and self-motivated attitude towards gaining a good understanding of ACTED programs is essential.
  • Willingness to learn and capacity to innovate; Database Assistant must be inventive and eager to improve his/her own skills, and be capable to adapt, shape and develop data processing tools best suited for ACTED’s activities;
  • Competencies in all computer related tasks including Word, Excel, and Access is strongly desirable. An ability to learn new computer related skills rapidly is essential.
  • Fluency in Arabic and English is required (particularly written).

Good organizational skills and ability to perform data processing tasks rigorously required.
