Logistics Assistant - Tyre Base

Action against Hunger is an international non-governmental, private, apolitical, non-religious and non-profit organization created in 1979. Its goal is to combat hunger and dangerous situations that threaten men, women, and children. Currently 500 expats and more than 5,000 employees are working for Action against Hunger in more than forty-six countries working in projects concerning four areas of focus: nutrition, health, food security and water and sanitation. 

In Lebanon, the Syrian crisis continues to generate political, social, and economic pressure due to the war in Lebanon and keeps more than 1.5 million refugees in a situation of increasing vulnerability. In this environment of political, economic and social uncertainty, our teams have maintained their high levels of humanitarian response and aid to Lebanon. Likewise, our interventions have been maintained in the Bekaa and northern areas, as well as in the south of the country, with a special focus on working in partnership or in consortium with other organizations and on institutional strengthening of the relationship with both donors. institutional, such as with local authorities and entities. 

 

The Logistics Assistant is responsible for, managing the warehouse, ensuring that stock management is in good condition and always up to date, as well to provide the needed support for the logistics manager on the stock follow up and the logistics manager Supply Chain Management.

Participate in processing the procurements needed at base level as per the assigned task from his/her line manager.

 

Objective 1: Ensure management of the base’s stocks (30%)

              Responsible for:

Guarantee that the procedures and instructions of stock management are followed

Ensure follow-up of stocks and pay particular attention to use-by dates

Draw up a monthly inventory

Keep all documents related to stock management up to date

Produce the monthly stock follow up for all stocks of the base

Check minimum stocks balances when updating stock cards and report anticipated shortages to the Log Manager

              Tasks:

Make sure the physical check matches with the Bin Cards, Stock Cards and Stock follow up

Identify the most used items and prevent shortage

Keep the stock organized with identified area for each department, downloading area and preparation area

Ensure to communicate any recommendation with your line manager to improve the warehouse condition and arrangement

Share a weekly report on the SFU and alert the technical team about their stock.

Objective 2: Ensure the quality of the storage condition (25%)

              Responsible for:

Check daily that the store is clean and is regularly disinfected and ventilated

Check the temperature and humidity of the store using the humidity/temperature detector

Check the sanitary conditions of new products (absence of parasites)

Remove infected products and inform the Log Manager

Report any problem with the quality and quantity to the Log Manager

              Tasks

Follow up of temperature and humidity is available in the stock

Make sure repellent items are available in the stock

Produce lost report for all broken or damage items

Close control of the quality of the items must be done and validated for each delivery

Objective 3: Manage shipments (20%)

              Responsible for:

Examine the deliveries: quantity, quality, documentation

Complete the various dispatch documents

Ensure safe loading and downloading into/from transportation vehicle

Ensure a proper coordination with the technical team on the quality check 

              Tasks:

Make sure all documents are dully filled and signed when transmitted to the carrier

Check if all parcels are well made to protect the items during transportation

Inform consignee in advance of the shipment and the size of it

Always have the means/men power needed for the shipments and good warehousing

Coordinate with the technical team for sample check and take the lead to return any shipment doesn’t the technical expectation as approved with the provider

Objective 4: Procurement and logistics support (25%)

Responsible for:

Provide the needed support for processing the procurement for the Program and the base as requested by his/her line manager

Responsible for the soft and Hard archiving as per ACF archiving procedure

Ensure accountability, transparency, and due diligence as per Action Against Hunger Principles and Code of Conduct

              Tasks:

Support Log Manager in the procurement process such as quotation requests, suppliers’ visits, price monitoring etc.

Support base logistician on supplier’s assessment and evaluation

Organize and archive documentation for purchases following internal procedures according to Kit Log

Support Log Manager in obtaining necessary data for Procurement Purchase Plans and project proposals.

Follow up of procurement orders in a timely manner.

Make sure the archiving system for stock management document is clear, scanned and uploaded on SharePoint.

Objective 5: Security

              Tasks:

Respect the security rules specified in the mission and base security plan, see to it that the team under his/her responsibility complies with the security plan and perform the security management tasks that can be assigned in its protocols.

Communicate to the security managers of the working location any security related information or noncompliance with the security plan

Objective 6: Support humanitarian activities of Action Against Hunger

Support the emergency interventions of the organization as per the employee’s abilities.

Support any activity that helps reaching our humanitarian goals, as per the employee’s abilities.

Promote gender equality within the humanitarian and/or development work

Objective 7: Gender & Safeguarding (cross-cutting)

              Tasks:

Promote safe and equitable environments, through knowledge and application of the protocol against harassment and gender policy.

Knowledge and compliance with safeguarding policy.

Promote gender equality within the humanitarian and/or development work

 

  •  KNOWLEDGE AND EXPERIENCE REQUIRED:
  •  
  1. University degree preferred on Business Administration, Industrial Engineering or related, with professional experience in logistic/clerical work.
  2. Stock Management, Fleet management, Supply Chain management, basic mechanical engineering, basic IT knowledge.
  3. 2 years minimum experience working on projects at humanitarian aid organizations, private sector and/or international donors. High ethical principles, work under pressure, flexibility with unexpected events, organized and methodical.
  4. Good team worker, good listener, strong communication skills, good animator, fast learner and facilitator
  5. Knowledge of Microsoft Windows environment, intermediate Excel level required, Intermediate Microsoft word and PowerPoint, Outlook desirable
