Action against Hunger is an international non-governmental, private, apolitical, non-religious and non-profit organization created in 1979. Its goal is to combat hunger and dangerous situations that threaten men, women, and children. Currently 500 expats and more than 5,000 employees are working for Action against Hunger in more than forty-six countries working in projects concerning four areas of focus: nutrition, health, food security and water and sanitation.
In Lebanon, the Syrian crisis continues to generate political, social, and economic pressure due to the war in Lebanon and keeps more than 1.5 million refugees in a situation of increasing vulnerability. In this environment of political, economic and social uncertainty, our teams have maintained their high levels of humanitarian response and aid to Lebanon. Likewise, our interventions have been maintained in the Bekaa and northern areas, as well as in the south of the country, with a special focus on working in partnership or in consortium with other organizations and on institutional strengthening of the relationship with both donors. institutional, such as with local authorities and entities.
The Warehouse Assistant is responsible for managing the warehouse, ensuring that stock management is in good condition and always up to date, as well as providing any other support as requested from the Logistics Manager, Officer or Head of Base.
Objective 1: Ensure management of the base’s stocks (25%)
Responsible for:
- Fully implementing a stock management system aligned with internal ACF Policies and Procedures.
- Prepare and maintain a Stock Follow-Up tracking all movements in and out of the warehouse.
- Ensure continuous follow-up of stocks paying particular attention to expiration dates of items and projects.
- Gather all supporting documents related to stock, collecting all necessary signatures and storing them in line with internal policies.
- Produce and share the monthly stock follow up for all stocks of the base.
- Review and reconcile the Stock Follow-Up with the stock cards and stock release/reception documents.
Tasks:
- Ensure physical stock matches supporting documentation.
- Identify the most used items and inform technical departments when stocks are running low.
- Ensure warehouse layout and the stock therein aligns with internal policies and maintains the safety and security of premises and stock.
- Ensure to communicate any recommendation with your line manager to improve the warehouse condition and arrangement.
Objective 2: Ensure the quality of the storage condition (20%)
Responsible for:
- Check daily that the store is clean and is regularly disinfected and ventilated.
- Check the temperature and humidity of the store using the humidity/temperature detector.
- Check the quality standards of all stock is maintained (no damage, leaks, insects, etc…).
- Inform Line Manager of any damaged or missing stock quantities.
Tasks:
- Take steps to maintain safe temperature and humidity levels at all times.
- Make sure fire safety and repellent items are readily available.
- Produce loss report for all broken or damage items.
Objective 3: Manage shipments (20%)
Responsible for:
- Examining all deliveries to confirm quantity, quality and alignment with documentation.
- Gather all relevant supporting documents and authorization for each stock movement in and out of the warehouse. Ensuring proper storage and filing at all times.
- Ensure safe loading and downloading to/from transportation vehicle.
Tasks:
- Make sure all documents are duly filled and signed when transmitted to the carrier.
- Check if all stock is well packaged to protect items during transportation.
- Inform consignee in advance of the shipment, providing all supporting documents needed.
- Inform requesting department of upcoming deliveries to ensure their attendance, in addition to arranging any daily workers, etc… needed to receive/dispatch deliveries.
- Coordinate with the technical team for sample check and take the lead to return any shipment doesn’t the technical expectation as approved with the provider.
Objective 4: Procurement and logistics support (35%)
Responsible for:
- Provide procurement support as requested by Line Manager.
- Responsible for archiving as per internal guidelines.
- Ensure accountability, transparency, and due diligence as per Action Against Hunger Principles and Code of Conduct.
Tasks:
- Support Logistics Manager/Officer in the procurement process such as quotation requests, suppliers’ visit, price monitoring etc.
- Support base with supplier assessment and evaluation.
- Organize and archive documentation for purchases following internal procedures
- Follow up with ongoing procurements in a timely manner.
Objective 5: Support humanitarian activities of Action Against Hunger
- Support the emergency interventions of the organization as per the employee’s abilities.
- Support any activity that helps reaching our humanitarian goals, as per the employee’s abilities.
