The Admin and Finance Coordinator is responsible for overseeing ALEF's financial and administartive operations and obligations in coordination with the Programs manager.
I- Budget and financial management
Supervise the accounting and bookkeeping of the organization (description, accounting codes, allocation)
Supervise and verify the monthly budget planner prepared by the Financial Officer
In coordination with the Programs Manager, prepare the annual budget as well as donor's budgets, and prepare periodic amendments.
Take the lead in preparing the financial reports in close coordination with the Programs Manager and the Finance Officer.
Supervise the annual and ad-hoc financial audits
II- Administrative and logistics management
Supervise procurement and ensure procurement procedures are respected.
Handle everyday office related follow up with support from the admin and logistics officer.
III - HR and administrative management of staff
Manage the recruitment process and implement recruitment policy and the renewal of employment contracts.
Supervise application of HR reference documents: internal regulation, templates of contracts, HR manuals and updates in case it is necessary.
IV - Legal & Compliance
Monitor compliance with the Lebanese Government requirements (Ministry of Interior, Ministry of Labor…etc.)
Follow up with lawyer on organization related compliance (contracts, personnel issues..etc.)
Anticipate and ensure renewal of all administrative agreements, licenses, permits or any other necessary paperwork
Qualifications/ Requested Profile:
Relevant university degree and a minimum of 2 years experience
Experience in working in the non-profit field
Proficiency in MS Office skills
Knowledge of local laws and regulations
Good organizational and managerial skills
Fluency in written and spoken Arabic and English
Strong communication skills – written and verbal
Able to work under pressure and in emergency situations
