Administrative Coordinator

Responsibilities and Duties  1) Front Desk tasks: Answer and direct phone calls Plan, organize and schedule appointments as per Colleagues requets. Write and distribute email, correspondence memos, letters, faxes and forms Take meeting minutes  Provide general support to visitors Act as the point of contact for internal and external staff and visitors 2) Administrative Taks:  Maintain filing system and prepares ledger for filing cabinets Order office supplies and research new deals and suppliers Coordinate and oversee the day to day management of supplies, equipment, and facilities for the organization, as appropriate to include maintenance, inventory management, logistics and related activities Book conference rooms and meetings, travel, or other arrangements Submit and reconcile expense reports (Petty Cash) Assist in photocopying and printing of documents 3) Day to day tasks: Controls staff and consultants’ attendance sheets, submits summary of attendance reports at the end of each month schedule field visist in coordination between the Drivers and the staff members. Maitain Record of Field visits. Performs miscellaneous job-related duties as assigned      Requirements and Qualifications This position demands a dynamic individual  Minimum of 3-6 years demonstrated expertise in Office Support Fluency in written and spoken Arabic and English required. Computer literacy in data processing (Microsoft Word), spreadsheet (Microsoft Excel), E-mail, and Internet browser software.  Skills: Ability to work effectively in a fast-paced, stressful environment. Must be flexible, willing to perform other duties and work irregular hours Excellent interpersonal skills, including patience, diplomacy, willingness to listen, and respect for colleagues. Languages: Arabic: Full proficiency in spoken and written English: Full proficiency in spoken and written French is considered an advantage.
