JOB OVERVIEW:
The HR Assistant supports the day-to-day operations of the Human Resources department, ensuring efficient and timely delivery of HR services. This includes maintaining personnel files, assisting with recruitment processes, supporting employee onboarding and offboarding, preparing HR documentation, and handling general HR administrative tasks. The role requires strong attention to detail, confidentiality, and excellent organizational skills.
KEY RESPONSIBILITIES:
1. Recruitment and Onboarding
- Support the recruitment process by posting job vacancies, scheduling interviews, and communicating with candidates.
- Collect and organize candidate documentation and maintain recruitment tracking tools.
- Assist with new employee onboarding, ensuring all required forms and documentation are completed.
- Prepare orientation materials and support induction sessions for new hires.
2. HR Administration
- Maintain accurate and up-to-date personnel files (both digital and hard copy).
- Prepare employment contracts, amendments, and other HR-related documents as assigned.
- Track staff leave balances, attendance, and contract renewals in coordination with the HR team.
- Ensure compliance with HR policies and procedures.
3. Employee Relations and Support
- Respond to staff inquiries on HR matters in a timely and professional manner.
- Support the organization of staff meetings, trainings, and employee engagement activities.
- Maintain confidentiality of sensitive employee information at all times.
4. Reporting and Data Management
- Assist in preparing HR reports, statistics, and updates as required.
- Update HR databases and ensure data accuracy in HR systems.
- Support the HR team during audits or internal reviews by providing requested documentation.
5. Other Duties
- Provide administrative support to the HR team and participate in HR projects as needed.
- Perform other related tasks assigned by the HR Senior Officer
QUALIFICATIONS and COMPETENCIES
- Bachelor’s degree in Human Resources, Business Administration, or a related field.
- Minimum of 1–2 years of experience in HR or administrative roles (experience in NGOs is an asset).
- Strong organizational and time-management skills with attention to detail.
- Excellent written and verbal communication skills in English and Arabic.
- Proficiency in MS Office (Word, Excel, Outlook) and Google; experience with HRIS systems is an advantage.
- High sense of discretion, confidentiality, and professionalism.
- Ability to work effectively in a team and manage multiple priorities.
