Project Coordination:
As the person responsible for overseeing every aspect of activity at the CLC and Classroom-on-a-Bus, the Project Coordinator would be expected to design and execute an action plan to meet project objectives in advance of the start of the academic year. This would then be regularly reviewed with colleagues in London to ensure it was working efficiency and to identify where changes might be needed. This process would include:
- Maintain highly professional standards in delivering a quality service to ensure the smooth running of the projects
- Support the AMF Programme Director to implement adjustments to account for any gaps in reporting/data collection and work closely with field and address them
- Coordinate with the AMF and AAA teams to ensure budget running totals are current and accurate
- Work with staff and partners to implement project tracking tools
- Responsible for the coordination of monitors, field officers, teachers, supervisors and students.
- Collect, analyze data and enter to the CRM Application as required using objective evaluation forms and tools developed individually and by the Project Manager.
- Ensure that AAA responsibilities are tracked and evaluated, and that updates on their performance are communicated in a timely and professional manner to appropriate stakeholders
- Act as the liaison between AAA/project staff and AMF, and act as the central point for all project-related communication
- Maintain comprehensive files for the project, and ensure project team and partners have access to relevant records
- Facilitate project coordination, information-sharing and guidance on day-to-day operations to AMF staff
- Handle documentation and record all relevant metrics against set goals
- Produce regular updates for team and senior managers
- Provide administrative support as needed for the project
- Ensure the project management calendar for fulfilling each goal and objective is up to date at all times
- Proactively work with the all teams to deliver differing pieces of work as required.
Procurement and Facilities:
While AAA Head Office will have ultimate responsibility, the person in this position must be willing and able to:
- Form relationships with local suppliers (e.g. building contractors, restaurants)
- Ensure the quality of goods received and a good service overall
- Remain aware of the condition of the CLC buildings and buses
- Report on any issues so the appropriate action can be taken
People Management:
It is essential that the person in this position has an interest in the performance of teachers and in helping teaching and support staff to excel and progress in their roles. While this will principally be the responsibility of the CLC Coordinator, the Project Coordinator will:
- Oversee this work, ensuring it happens efficiently
- In Coordination with all staff of the CLC including center coordinator, teachers, assistant teachers, etc…
- Explore with field officers and monitors factors contributing to success or failure.
- Attempt to resolve conflicts that arise between staff members in a sensitive manner
- In coordination with the project team, work with Partner staff to develop project documents including inception report, monitoring plans, contracts and activity plans
- Supervise and coordinate partnership processes
Child Learning and Welfare:
Ensuring the well-being of our pupils is at the heart of what we do. The person in this position will:
- Coordinate with AAA outreach staff report to ensure timely reports are provided back in a timely manner and that the AMF team is aware of any related issues
- Ensure that pupil attendance is accurately and regularly reported
- Ensure that pupil performance results are tracked in a useful and clear manner and communicated in a timely fashion
- Obtain reports on individual pupils from their respective schools in order to assess improvement and track progress
- Ensure that safeguarding regulations are adhered to
- Ensure the overall happiness and health of the children
- Report on any urgent changes or suggested longer-term improvements to achieve optimum child welfare
- Ensure that communications channels are kept up-to-date, providing regular updates and documentation (photos, etc.) to the London office
- Reporting:
- Serve as the principal point of contact for enquiries from London, seeking information from colleagues in Lebanon where needed
- Ensure high quality, timely and coherent reporting, both financial and narrative, coordinating the production of all narrative reports from partners
- Responsible for submission of donor reports and information, communication of compliance questions, project challenges, etc.
- Participate in impact measurement, assessment and evaluation of all projects
- Work with AAA and AMF teams to design and execute an action plan to meet project objectives
- Provide regular updates on the challenges faced by refugee families in the area
- Maintain and monitor project plans, schedules of work, hours, budgets and expenditures.
