Project Manager

  Job Category: Office based Job Code/ Ref #:   Job title Project Manager Reports to Program Director     Job purpose   The Project Manager oversees the planning, implementation, and tracking of the projects, to ensure they are in line with the stated goals of the organization. Duties and responsibilities   The project manager duties and responsibilities include the following:   Plan the project Define the scope of the project in collaboration with senior management and project partners; Determine the resources required to implement the project as per agreed budget; Develop a work plan in coordination with the program director for project implementation; and share it with senior management, project partners and project staff.   Staff the project In coordination with the human resources, participate in the recruiting, interviewing and selecting process of the project staff; Manage project staff and ensure that everyone on the team understands the scope of the project and agrees upon how the project’s goals will be met.   Implement the project Execute the project according to the project work plan; Monitor the progress of the project to ensure efficiency and effectiveness the implemented activities as per agreed upon partner deliverables; Document the implemented activities.   Control the project Compile and write needed reports for the management and project partners on weekly and monthly basis; Monitor and approve all budgeted project expenditures and cash flows and ensure up to date financial records; Serve as the primary contact and ensure appropriate liaison with senior management and project partners and funder.   Evaluate the project Develop an evaluation process for the project; Participate in presentations about the project to the board and to other key stakeholders as required; Ensure that the project deliverables are on time and within budget; Evaluate the outcomes of the project as established during the planning phase and write the needed reports (weekly, monthly, quarterly or yearly).     Qualifications   Previous experience as Project Manager within the non-profit sector; with proven experience in leading and managing complex projects; University Degree in Administration, Education, Social sciences, Economics or any related field; Master’s Degree (desirable); Excellent use of computer with command on MS Excel among other packages of MS Office; knowledge of CRM (desirable); Proven skills in critical thinking, assessment and analysis; Demonstrated ability in report writing and presentation; Demonstrated ability to train and build the capacity of others; Demonstrated ability to establish and maintain effective relationships; Excellent organizational skills with demonstrated ability to execute projects on time and on budget; Strong interpersonal, communication and presentation skills; Strong analytical and problem solving skills.   Responsibilities within the Internal Control System   Ana Aqra Association's Internal Control Systems (ICS) encompass a set of rules, policies, and procedures that the organization implements to provide reasonable assurance that: Its financial reports are reliable, Its operations are effective and efficient. Its activities comply with applicable laws and regulations. The organization's board of directors, management, and other personnel are responsible for the internal control system. Thus, a project manager is responsible for the ICS and non-compliance will result in direct dismissal.     Confidentiality   All documents are confidential and should not be shared with any person without the consent of the Program Director.   Further Conditions   The project manager is not allowed to work for another institution, NGOs or any other agency while hired by Ana Aqra Association. A one month notice of leave or termination of his/her job should be granted, regardless who requesting discontinuation of the employment is.
