Administrative Assistant- Tourism Program

Objectives and responsibilities: Welcome, guide and monitor the beneficiaries during their stay Receive and guide the visitors with a smile Communicate the information related to the different services and products of arcenciel Welcome the clients at the hostel To be always ready, awake and close to the clients in order to meet their expectation Folow up with the kitchen and the restaurant staff for a better and faster service Take into consideration the customer reviews and find solutions to problems Perform a check up on rooms before the arrival and after the departure of guests Manage the track of the "Comments Card" Thank the customers and encourage them to visit the hostel again Make sure that the image, the spirit and the culture of arcenciel are well transmitted to the volunteers of the center and the customers.  Manage the reservations when needed Assist the head of the center Help putting the administrative formalities and the daily budget (reservations, prices, billing, cashing, purshases) Classify and verify the simple administrative documents ( bills, slips, purchase orders) Determine the previsions of the activities and transmit them to the concerned services ( floors, household, kitchen) Ensure the hostel correspondence by handling telephone calls ( information relating to rooms rentals, reservations, prices, other services...)  Perform a planning for the reservations and the room occupancy Provide the head of the centre with quality reports Participate in managing the volunteers of the center and in the coordination with the HR and the accounting departments Follow every volunteer in the center with his/her tasks Ensure good working conditions in the center (calm, cleanliness...) Ensure managing the volunteers of the center (work conditions, absences, leaves, insurance...)  Fill all the administrative papers for the HR and the accounting departments Skills:  Hospitality  Active listener Organized  Flexible Attention to detail and to the service provided Independent  Dynamic Ability to manage the conflicts Attendance and impeccable presentation MS office Survoy software (after training)  Job characteristics: Work on week-ends
