General objectives and tasks:
1- Assist the personnel unit in different administrative tasks:
- Write and translate the emails to be sent to all arcenciel.
- Administer HR-related documentation.
- Organize, maintain and update personnel records.
- Ensure the signatures of concerned personnel on all HR-related documents.
- Fill NSSF work statements upon request.
- Request hospitalization approvals for the employees from the insurance.
- Send monthly projects pay slips and timesheets to the finance department.
- Coordinate with the active listening unit on the social aids and the social distributions.
- Send the fiches objectives and technical plans for the new comers with the assistance of the supervisor and follow up on all needed signatures.
- Coordinate with the supervisor regarding the logistics of the trainings.
- Issue arcenciel’s card for the new comers.
2-Assist the recruitment unit in the different stages of the recruitment process:
- Acquire and gather resumes from different sources.
- Reply to all applicants’ emails within 24 hours.
- Screen received resume and shortlist the potential candidates who meet the requirements.
- Conduct phone interviews.
- Contact selected candidates to organize and schedule interview meetings.
- Assist the team in the first interview and in the selection phase.
- Assist in writing and forwarding rejection letters to the disqualified candidates.
- Assist in performing reference and background checks for potential employees.
- Develop a pool of qualified candidates and record the applications in the database in advance of need.
- Attend career fairs for recruiting and company recognition.
- Analyze the need of recruitment in terms of interns, volunteers and employees.
- Maintain proper documentation, filing and archiving to the recruitment files and folders.
- Follow up on the signatures of the required documents in a timely manner.
- Perform other projects as assigned.
Position requirements:
Skill set and competencies:
- Basic understanding of the logic of various HRIS.
- Understanding of the recruitment process and different stages.
- Good understanding of the Lebanese Labor law and Social Security law and practices.
- Previous experience in recruitment and administration is a plus.
- Excellent computer skills; Microsoft Office, Outlook, Excel, and HRMS as a plus.
- Skills in database management and record keeping.
- Effective oral and written communication skills in English and or French.
- Excellent interpersonal and organizational skills.
- Ability to work independently as well as part of a team.
- Able to work under pressure with attention to detail.
- Possess high level of confidentiality and respect of work secrecy.
- Initiative taker and willingness to learn.
Working Schedule: Monday till Friday from 9:00 am till 5:00 pm.
Contract type: 1 year (Renewable).
