L&P Officer.

PURPOSE OF POSITION:

The Logistics & Procurement Officer will be responsible for procurement and logistics activities that support the delivery of projects’ objectives and ensuring that those activities are delivered in accordance with the organisation policies and procedures.

JOB SUMMARY:

ARK seeks a detail-oriented, thorough, and organized Logistic and Procurement Officer to work closely with projects team to assist with logistics and procurement of relevant projects, to oversee purchases and develop new contracts. In this position, you will play a key role in procuring high-quality and cost-efficient supplies for our organization to meet projects’ objectives. You must follow ARK’s procurement policies and procedures, maintain an updated list of inventory, incoming purchases and supplies, and be responsible for filling and drafting of relevant logistic and procurement documentation.

AREAS OF RESPONSIBILITIES:

 

L&P Tasks:

  • Lead on all procurement and logistics needs
  • Ensure the smooth running of all logistical, administrative and procurement aspects of the programme, and day-to-day implementation of activities
  • Assist in day-to-day operations, ensuring that all administrative and procurement documents are appropriately filed.
  • Ensuring that ARK procurement policies and procedures are implemented.
  • Ensure that files are at all times audit compliant.
  • Assist project teams with procurement justification preparation.
  • Drafting RFQs, RFPs, POs, and ITBs in conjunction with the project team.
  • Participate in technical committee meetings to ensure timely implementation progress and a focus on procurement related activities.
  • Issue international, regional and local tenders.
  • Review technical proposals of suppliers and carry out cost/benefit analysis.
  • Negotiate with suppliers to achieve the best value for money.
  • Evaluate offers and make recommendations for the finalisation of purchases and the award of contracts.
  • Preparation of Purchase Order and contract.
  • Accurately enter procurement information into the system.
  • Maintain the inventory register up to date.
  • Ensures correct and timely payment for services.
  • Plan work assignments to ensure timely delivery of results.
  • Coordinate with Finance over needed documentation and other issues
  • Other duties as reasonably required.

 

REQUIREMENTS:

  • Excellent Excel, Word and PowerPoint skills.
  • Degree in Business, Supply Chain, International Studies, or closely related field preferred.
  • A minimum of 3 years of experience in a similar role.
  • Solid knowledge and understanding of procurement processes, policy, and systems.
  • Excellent verbal and written communication skills in English.
  • Ability to negotiate, establish and administer contracts.
  • Attention to detail, ability to work independently and meet tight deadlines.
