Key Responsibilities

Administrative & Coordination Support

  • Provide administrative support to the Media and Communications team.
  • Coordinate schedules, meetings, and field media activities in collaboration with program teams.
  • Support logistical arrangements for media coverage, events, and campaigns.

Documentation & Data Management

  • Organize and maintain media files, including photos, videos, consent forms, and publications.
  • Ensure proper filing and archiving of media materials in line with organizational procedures.
  • Maintain updated databases of media content and communication outputs.

Content Support

  • Assist in drafting, formatting, and editing basic media content such as captions, briefs, and activity summaries.
  • Support the preparation of reports, presentations, and visibility materials.
  • Ensure content accuracy and consistency with CVC Charity branding and communication guidelines.

Safeguarding & Compliance

  • Ensure all media materials comply with Safeguarding, Child Protection, PSEA, and Data Protection policies.
  • Verify that informed consent is obtained before collecting or publishing any media content involving beneficiaries.
  • Maintain confidentiality of sensitive information at all times.

Coordination & Communication

  • Liaise with internal departments to collect information and updates for communication purposes.
  • Support coordination with photographers, designers, or external media service providers as required.

Reporting

  • Support the preparation of periodic media activity reports.
  • Assist during audits, donor reviews, and assessments related to visibility and communication

    Skills

    • Strong communication and interpersonal skills.
    • Ability to manage multiple tasks and prioritize efficiently.
    • Good understanding of photo/video production processes and basic terminology.
    • Strong attention to detail and organizational abilities.
    • Ability to review visual materials for quality and branding compliance.
    • Proficiency in Microsoft Office and basic familiarity with media editing tools (advantage).
    • Ability to work under pressure and meet tight deadlines.

    Education

    Bachelor’s degree in Media, Communications, Journalism, Marketing, or related field.

    Experience

    1–3 years of experience in media coordination, communications, or NGO program support.
    Experience working with photographers, videographers, designers, or media firms is an asset.
    Prior NGO/humanitarian sector experience preferred.
