Procurement Implementation
• Process procurement requests in line with organizational policies and approved thresholds.
• Prepare procurement documentation (MR, PR, RFQ, bid analysis, PO).
• Collect quotations and conduct price comparisons as instructed.
• Follow up with suppliers to ensure timely delivery of goods and services.
• Ensure complete and accurate filing of procurement documents (hard and soft copies)
Vendor & Market Support
• Maintain and update the vendor database.
• Liaise with suppliers for quotations, clarifications, and documentation.
• Support vendor evaluations and supplier visits.
• Ensure suppliers sign required compliance documents when needed.
Systems & Documentation
• Accurately enter procurement data into the organization’s system (DDS).
• Maintain procurement trackers and status reports.
• Support audit preparation by organizing procurement files.
Compliance & Ethics
• Ensure all procurement activities follow the procurement policy.
• Maintain confidentiality of procurement information.
• Immediately report any suspected conflict of interest or irregularity to the Procurement Coordinator.
• Demonstrate integrity and professionalism in all interactions.
Coordination
• Coordinate with requesting departments to clarify specifications.
• Follow up with Finance and Warehouse regarding deliveries and documentation.
• Support emergency procurement processes when required.
Qualifications & Requirements
• Bachelor’s degree in Business Administration, Supply Chain, or related field.
• 1–3 years of experience in procurement or logistics (NGO experience is an asset).
• Basic understanding of procurement documentation (MR, PR, PO).
• Strong organizational skills and attention to detail.
• Ability to work under supervision and meet deadlines.
• Good communication and negotiation skills.
