Center Coordinator

Main tasks and responsibilities:

  • Focal point for BTF program, liaising between AVSI and coordinating with Bqosta Association.
  • Lead on outreach activities carried out in coordination with AVSI personnel and supported by community volunteers. Outreach activities include posting of NFE enrolment opportunity on Bqosta social media, management of center hotline, management of registration through filling out of needs assessment form, management of centre's waiting list.
  • Management of classrooms, including classroom set-up: furniture, decorations, child-friendliness, etc. Ensure the cleanliness of center spaces at all times during the activities implementation timeframe. Ensure availability and safety of playground area for physical education, recreational and recess activities.
  • Support AVSI in the management of relations with the teachers and Bqosta management: support recruitment process, support organization and implementation of teachers’ trainings, supervision of teachers’ attendance, commitment, and adherence to PD plan, behaviour and attitude, etc.
  • Contribute to the activities planning, coordinating with AVSI Education field coordinator in outlining programme schedule.
  • Daily follow-up on the arrival and departure of children to/from the centre: regular update of bus lists and communication to the bus drivers, ensuring safety, take attendance of BLN students upon arrival, communicate any delay or misfunctioning of transportation services to AVSI Education field coordinator for follow-up and action.
  • Based on daily attendance, follow-up on absenteeism via phone calls to caregivers on a one-on-one and daily basis, stressing on importance of attending courses regularly and contributing to preventing dropouts.
  • Weekly follow-up on students’ attendance data entry on BTF system, ensuring all data is duly entered by the teachers/ center coordinator and facilitating reporting purposes.
  • Arrange daily delivery and distribution of fresh and/or packed snacks and water for the children, and report any issue related to snacks quality, provision and distribution to AVSI Education field coordinator in charge.
  • Track teachers’ attendance and filling out of monthly timesheets, ensuring timely recollection and submission of signed timesheets, facilitating monthly payment processes.
  • In coordination with MS Child Protection team and AVSI Education Field Coordinator, manage the communication with caregivers through phone calls or dissemination of WhatsApp messages: sharing of information and updates about the BLN cycles and activities, modifications of the schedule, closure of the center, dates of FPSS and awareness sessions, etc.
  • Attend training on early identification and referral of children with disabilities and, in coordination with AVSI Inclusion Specialist and Education Field Coordinator, set up counselling room, fill out referral forms, prepare specialized services calendar and schedule, track students’ attendance to specialized therapy
  • sessions on the BTF system, recollection of therapist monthly timesheets and reports upon conclusion of prescribed sessions.
  • Attend training on Child safeguarding policies, Child protection, Safe identification and referral to CP services, PSEAH and any other relevant training facilitated by AVSI team.
  • Organize regular meetings with teachers to discuss any challenges encountered in the implementation of the curriculum and follow-up with AVSI Education team for any needed technical support, adaptations, adjustments.
  • Support the planning and facilitation of parents-teachers' meeting throughout the cycle.
  • Ensure the set-up and functioning of accountability and FCRM system.
  • Coordinate with AVSI Education Field Coordinator to identify needs for materials, equipment, furniture, stationery, cleaning products, PPE, etc., facilitating procurement procedures. Timely notify AVSI in due form (AL6) about the reception of items purchased by AVSI and delivered to the center. Responsible management of stock and utilisation of resources, exclusively for the purposes of the project.
  • Attend any capacity building and training related to AVSI tools, approaches, modalities, data collection and information management system, etc.
