Ayadina Association Job Description   TITLE: Administrative Assistant REPORTS TO: The Executive Director SUMMARY: The Administrative Assistant contributes to the efficient day-to-day operations of the Ayadina Association office, supports the work of the execitove director, other staff, and the Board.   DUTIES AND RESPONSIBILITES Administrative/Organizational * Manages, organizes, and updates relevant data using database applications * Provides secretarial services to the executive director and the president including taking minutes, and preparing reports in draft form and materials for meetings and other activities related to the association’s activities * Assists with research and cost comparisons for vendors to maintain cost effectiveness and quality * Maintains inventory of office supplies and computer software * Is responsible for the filings of the association Communication * Communicates and provides information by relevant methods internally and externally to assist the operations of Ayadina Association and renders effective service to Ayadina parents and the the Nabaa community * Drafts the monthly newsletter * Provides updates for the association’s website and facebook page   Fundraising * Assists in the search for potential funding opportunities/grants, follows up with sponsors and donors, current and potential Assists in the organization of fundraising events   Performs all tasks related to Ayadina Association’s operations as directed by the executive director   PERSONAL CHARACTERISTICS The Administrative Assistant will demonstrate competence in the following areas: > Relationships: Positive working relationships with others, both internally and externally > Communication: Excellent oral and written communication skills > Teamwork: Work cooperatively and effectively with others to set goals, resolve problems, and make decisions to enhance organizational effectiveness > Organization: Excellent time management skills; attention to detail; the capacity to prioritize by assessing situations to determine urgency; MINIMUM REQUIREMENTS: > B.A. degree > Fluent in English and Arabic, French is an asset. > Good familiarity with commonly used PC Office work: word processing, spreadsheet, database software packages and social media applications
