Admin & HR Assistant

Basmeh & Zeitooneh is a registered Lebanese organization, committed to serving refugees and vulnerable communities in Lebanon, through four community centers across the country. The organization runs educational, relief, livelihoods, and protection programs, and aims to serve as an inclusive and supportive focal point for the entire community.

Major Activities :

  • Assist in the recruitment process; announcement of vacancies, conduct pre-screening, contact candidates for interviews and assessments, conduct reference checks, send regret emails, and follow up on the recruitment process with the line manager.
  • Conduct interviews and select applicants who meet the specified criteria for the position as per the recruitment process.
  • Maintain a proper filing system for all HR files such as employee files, recruitment documents, performance appraisals, leave entitlements, and contracts.
  • Prepare team monthly payroll, including all deductions and allowances.
  • Register employees in the NSSF (National Social Security Fund) and Ministry of Finance .
  • Under the supervision of HR, the unit contributes to the preparation of employment contracts of the staff in close coordination with the concerned units.
  • Responsible for the logistical arrangements of meetings, workshops, and other events in collaboration with the logistics department & operations, and other units.
  • Ensure to collect all the documents signed and filed including timesheets and pay slips.
  • Prepare employees’ work certificates upon request.
  • Follow up on the exit administrative procedures, such as exit interviews, documents to be signed, and HR belongings to be handed.
  • Maintain and update the HR electronic (HR System) and hard filing system
  • Maintain the confidentiality of all sensitive HR information at all times
  • Show flexibility in supporting other field offices when necessary
  • Monthly report to line manager.
  • Support and provide assistance for employees on HR policies and procedures.

People Management:

Onboarding of new B&Z employees, as the Assistant HR Manager, will be the first focal point for newcomers.

Miscellaneous:

Any other tasks or responsibilities assigned by the HR Officer.

Education & Experience:

  • Bachelor's Degree in Human Resources, Business Management, or any related field
  • Minimum of 1-2 years of professional experience in an Administration/HR role , and NSSF forms and procedures.
