Major Activities
- Assist in resolving administrative problems related to all departments by collecting information, preparing notes to the file, and getting approvals
- Guarantee that personal files of all staff are administrated with appropriate quality
- Responsible for the logistical arrangements of meetings, workshops and other events in collaboration with logistics department
- Prepare meetings, trainings, and workshops materials
- Draft agendas, take minutes at meetings and workshops and maintain attendance sheets
- Type correspondence, reports and other documents, requested by the HR Manager in English and Arabic
- Prepare all necessary documentation and make all arrangements for movements and missions
- Maintain a tracking system for all B&Z leave balance
- Maintain and update the HR electronic and hard filing system
- Maintain the confidentiality of all sensitive HR information at all times
- Show flexibility is supporting other field offices when necessary
- Ensure update of the HR database and periodical reporting to the HR Manager
- Report to HR Manager all relevant information on HR situations
- Prepare certificates and other HR documents when needed
- Tracking, following up and collecting of time sheets
- Prepare monthly payroll for employees
