Beirut Art Center - Administrative Director

Major Responsibilities include:

• Work closely with the artistic directors and executive board to establish plans in order to achieve goals, implement policies, and continuously work to promote the Center.

• The financial and administrative management of the Center.

• The implementation of all activities and events at the Center in collaboration with the artistic directors.

• Joint leadership with the artistic directors of the staff in the development and implementation of short and long range plans, policies, and other activities.

• Collaborate with the board and the artistic directors to create and implement a fundraising plan that articulates focused strategies to meet short-term and long-term fundraising goals.

 

Experience required:

The ideal candidate has a leadership background in a mission-driven organization. He or she has successfully managed a cultural organization and contributed to its transformative growth. Backgrounds of interest include managers from private and public cultural organizations, as well as other non-profit institutions in similar fields.

 

Qualifications and Skill Sets:

  • Excellent coordination and organization skills
  • Able to tackle multiple tasks and manage priorities
  • Able to work independently and within a team
  • Able to develop efficient systems of organization and work flow as well as working within existing structures
  • Fluent in Arabic and English (reading and writing)
  • Computer literacy; excellent knowledge of Microsoft Office programs, working knowledge of Adobe Suite
  • Experience in accounting, recordkeeping, and office management
  • Preferred administrative experience in community and grassroots organization
  • 2 years of work experience
  • BA in art management or related subject preferred

Detailed Responsibilities Description:

Accounting and Finance

  • Issuing and updating yearly, quarterly, and project based budgets, cash flows, and balance sheets
  • Developing strategies for financial solutions and development
  • Liaising with auditor for quarterly reports and payments
  • Arranging for payments, transfers, and other bank procedures

 

Administrative and Office

  • Managing and supervising staff and departments of the center
  • Representing BAC in various official and governmental processes (ex. NSSF, Ministry of Finance, Ministry of Interior, etc..)
  • Making necessary arrangements to keep all BAC legal and official documentation in order and up to date
  • Arranging employee open calls, interviews, and selection processes
  • Drafting employee agreements and paperwork
  • Drafting and/or reviewing supplier/service contracts and agreements
  • Overseeing and approving operations manager administrative tasks and agreements
  • Arranging space rentals and agreements

Projects and Exhibitions

  • Contribute to the development of new projects and initiatives with the artistic directors and BAC staff
  • Manage and maintain current projects
  • Evaluating project methodologies and proposing new strategies
  • Preparing budgets and project cash flows
  • Arranging and preparing artist agreements, loans, and condition reports
  • Researching and providing suppliers, and presenting multiple options and comparative pricing
  • Collaborating with BAC staff in preparing shows regarding installation schedules
  • Assisting in the de-installation and installation of exhibitions and projects
  • Arranging shipping and logistical tasks
  • Overseeing deliveries and packing and unpacking of artworks and sensitive items
  • Arranging and managing contracted workers
  • Overseeing all construction, electrical and technical installation work to insure that it is done properly and efficiently without any misuse or mishandling.

Fundraising

  • Researching grant and funding possibilities
  • Drafting proposals, texts, and budgets for grant applications
  • Seeking new partnerships, sponsorships, and collaborations
  • Keeping schedules and time management for upcoming deadlines
  • Reporting on project progress for funding agencies
  • Communicating latest activity to donors

Communication

  • Preparing newsletters and announcements in coordination with BAC staff
  • Overseeing social media activity and posts

Board Liaison

  • Relaying financial and budgetary updates and report
  • Communicating main BAC updates and news
  • Preparing annual reports
