Research Center Coordinator

Detailed Tasks of the Research Center Coordinator

Administrative:

  • Calls for regular meetings of directors/teams
  • Takes minutes of meetings
  • Follows up on institutionalization matters (e.g. retreats, supports the consultant working on endowment, etc.)
  • Human resources management: Recruitment, processing and renewal of all contracts. Management of holidays/vacations schedule.
  • Space management: Makes sure the Lab space remains clean and ordered, functional, and reports/follows on all repairs. Addresses challenges in spatial allocation for staff 
  • Equipment management
  • Placing orders: equipment (small/large), catering, etc.
  • Data filing: organization and management of Lab files and digital resources (e.g., minutes, reports, images, presentations) 
  • Communication: Follows-up on BUL email account, channels and follows-up on requests
  • Organization of Lab events (with coordinators)

Accounting:

  • Financial management of all grants: keeps track of all spending and keeps PIs updated
  • Filing reimbursements, payment vouchers and processing other financial requests
  • Follows up with AUB units on various administrative and financial matters

Grant management and reporting:

  • Drafts grant reports with PIs and coordinators. 
  • Follows-up with OGC and Comptroller’s on grant amendments and other items.

Team building:

  • Organizes regular meetings, gatherings, etc. 
  • Contributes to creating a pleasant and smooth working environment at the Lab.

A bachelor university degree is required, a master is preferred, with a minimum of 2 years of experience. Good oral and written communication skills in English and Arabic are required, in addition to solid organizational skills, team building skills and basic accounting skills (good knowledge of Excel is expected).
