The post is based in Lebanon’s Examinations department. The Exams team consists of 3.5 members of staff, who administered over 3,245 exams in 2010/11 and conduct a range of examinations which include IELTS, Cambridge ESOL, School, Education and Professional exams. Accountabilities, responsibilities and main duties:
Oversee management of exams administration in Lebanon, in line with all British Council and awarding body standards. Manage relationships with sub-centres to ensure efficient administration and business development
Manage the Exams team to ensure that all exams are administered in accordance with standards and guidelines that are in accordance with Corporate guidelines and Examining body regulations.
Manage the IELTS, ESOL, university, professional and school exams and to ensure that all these exams are administered in a timely manner when and where needed to jump in to ensure deadlines are met.
Manage necessary stock systems for Exams materials and ensure system is updated on a day to day basis
Conduct annual Invigilators training following the corporate standards
ensure adherence to EQS and awarding body standards
keep up to date with all new developments/products by exam boards
ensure that Exams works with other activity areas and maximum impact is made through access to UK qualifications
Liaise with CSM to ensure CS team are regularly updated on exams events
Manage and conduct quarterly stock take for all Exams stock
Manage and develop necessary stock system for exams other income – books, extra TRF, DHL IELTS
Ensure exams venue staff are managed in line with EQS and Essential HR requirements
Ensure 100% accurate records are kept of all training, standardisation and examining done
Manage all aspects of local examiner/clerical marker recruitment and training
Receive satisfactory feedback from sub-centres, and customers and act accordingly in order to improve services
Introduce innovations in customer service and support through extensive research
Ensure information for the general public is up to date and relevant and, where appropriate is available in Arabic
Ensure website is regularly updated with Exams events, this includes IELTS test dates, new examinations such as BMAT, TSA, ELAT etc…..
Ensure development of examinations business in Lebanon, to include growth in all sectors.
ensure business growth and customer satisfaction meets BC standards
ensure Customer Satisfaction surveys and focus groups are conducted and data recorded and stored for mandated market research purposes
agree on Exams Marketing Action Plan with Director and REM, and implement for business growth. (Update as needed and when required)
ensure comprehensive competitor and market research is carried out to reflect business decisions
manage the content of the Exams section of the website to Corporate standards and ensure that exams contribution to British council Lebanon publicity material is dynamic, engaging and relevant to identified target audiences
supervise customer surveying and scorecard requirements for Exams
keep up-to-date with the latest relevant developments in professional best practice to ensure the services are provided to agreed quality standards
manage the set up of exams promotional events including certificate award ceremonies
Promote ESOL exams to the TC students in classrooms on a term by term basis. This includes a brief presentation
Work closely with the TC corporate manager in order to see how we could cross sell products
Supervise Financial Management of exams activity in Lebanon
provide accurate provision of financial information for planning and reporting purposes; preparation and re-forecasting on a monthly basis of budgets and plans.
approve daily, monthly and/or quarterly income reconciliations for exams. Assist where needed to ensure deadlines are met.
ensure salary statements are prepared in line with British Council standards
manage exams trade debtors
act as exams budget holder
ensure compliance of line management to PMPD process in essential HR
Other important features or requirements of the job (e.g. travel, unsocial/evening hours, restrictions on employment etc)
The post involves frequent weekend work, frequent off-site work, occasional very early mornings, and occasional travel for training and meetings. Where applicable, this will be compensated with TOIL. Strict adherence to exam security and administration requirements is an essential part of the job.
