Programmes Assistant/ Arts And Society: To Support The Initiation And Management Of The Direct Delivery Of A Portfolio Of Global And Local Arts And Society Projects In The Aim Of Meeting The British Council’S Objectives.

Accountabilities, responsibilities and main duties:   To provide administrative and technical support for Arts & Society Projects Managers working towards British Council objectives in areas of Society and Arts. List of responsibilities can include the following but not limited to Support stakeholder management including government, institutions, NGOs, artists, companies, promoters, etc. Organise events and booking venues and comply with Health & Safety measures of  events Prepare itineraries and programmes for incoming and outgoing visits and tours; compile and update project schedules Ensure all external customers are provided with the right administrative/ logistical support, delivered to time and quality standards Arrange travel, accommodation, visa, subsistence Draft invitation lists and welcome letters Support negotiation of contracts fully compliant with corporate guidelines especially regarding intellectual property Collect scorecard data as required by the Projects Manager, support the documentation and evaluation of projects   Organise stakeholder meetings and take minutes. Update joining instructions, risk assessment form and any forms used to international guests. Communicate project deliverable logistics to internal and external partners and stakeholders Attend and Report projects events when requested Performing tasks with efficiency and speed delivered on time and up to British Council standards, as well as fulfilling satisfaction of internal and external stakeholders. Ensure EO&D and Child Protection policies are present in all project aspects from conceptualisation to delivery in agreement with projects manager. Responsible for post event administration i.e. evaluation forms.(related to reporting projects events above)  Draft pre or post press releases when needed Draft contracts, memorandum of understanding and letter of agreements when needed   To take on the Operational Support role on FABS abiding by BC financial standards.   Closely liaise with the finance team regarding vendors and payments to ensure accurate process is taken forward.  Follow up and respecting deadlines in payments to vendors and suppliers Set up vendors on SAP in consultation with projects team.  Issue payments as agreed with Project Managers in compliance with BC financial standards.   To directly manage small scale projects delegated by Society & Arts Project Managers.   Closely liaise with Society & Arts project managers regarding the project brief and deliverables. Report on key milestones and where risks are emerging in the project. Finalise and deliver all arrangements within an agreed time frame. Collect and analyse scorecard data where appropriate Manage activity/small scale project budget and report to Society & Arts Project Managers actual and anticipated expenditure. Support the delivery and coordination work of the agreed British Council Lebanon media and marketing strategy by carrying out agreed tasks.     To take on the Scorecard analyst role Provide support to the regional evaluation manager; through inputting timely and complete scorecard returns in line with corporate guidelines and regional dates and communicating issues and needs as they arise Participate and interact in teleconferences, communications regarding latest updates, reviews and deadlines of audience plans, forecast in coordination with country scorecard analyst.   To support the Programme team in internally and externally communicating its work: Create and commission a wide range of digital content for social media platforms with selected partners Grow our social media platforms and ensure high quality engaging content Ensure that all events are thoroughly documented on our digital platforms Collaborate with Global and Regional Communications, Arts and Society Team colleagues
