OBJECTIVE:
The Procurement Assistant is responsible for facilitating the procurement aspects of Caritas operation. Working closely with Program, Administration, Finance and Logistics departments.
DUTIES:
- Collect quotations from suppliers
- Print Purchase Requests (PRs) in coordination with Procurement Officer and ensure that PR is given to originator for appropriate signatures
- Process all appropriately authorized supplies requests, ensuring that goods, services and works are procured to the specifications required, within the required timescales, at a manageable price point, and in line with the organization procedures
- Coordinate with suppliers regarding delivery schedules and transportation arrangements and advise relevant staff of the same.
- Liaise with department managers on a daily basis to keep them up to date with problematic procurements
- Maintain the filing of both hard copy and soft copy of the ongoing and complete Purchase Requests with all the supporting documents as required by Caritas Procurement Policy
- Assist the Procurement Manager with administrative and secretarial duties
- Supervise the daily operations of the project, handle all receipts and transaction records and ensure all project expenditures have been properly recorded and filed
- Meet with the Finance Officer to reconcile payments related to program’s activities in accordance with allocated budget
- Collect quotations for Management/Staff conferences, travel (flight & hotel booking) and other arrangements

ACADEMIC EDUCATION:
Diploma in Business Management/Administration
EXPERIENCE AND KNOWLEDGE:
- 3 – 5 years of experience of relevant work experience with NGO
- Lebanon

- Sinn El Fil
