Shelter Coordinator - BML

SUMMARY

Responsible for the management of the safe shelter and coordinates all the safe shelter technical activities and operations.

MAJOR DUTIES / RESPONSIBILITIES

• Supervise the day-to-day operations of the Safe Shelter including legal, psychological, medical and protection services, and general activities, ensuring that all are functioning according to Safe Shelter standards.

• Manage all in-shelter staff.

• Design communal activities for the Safe Shelter residents.

• Serve as the contact for women regarding any of their needs within the Safe Shelter.

• Refer women and children to appropriate services within the Safe Shelter according to their need.

• Perform regular assessments regarding the physical needs (including food, office supplies, maintenance, etc.) of the Safe Shelter and identify gaps and strengths in service provision.

• Oversee the intake procedures of women and children.

• Maintain accurate and organized records of when women arrive, how long they have been in the Shelter, and how they are progressing in the Safe Shelter.

• Help coordinate women's exit strategies with the team.

• Work to implement and revise the strategic plan of the Safe Shelter according to regular evaluation feedback.

• Maintain clear and concise records of project activities and contacts.

• Oversee the shelter's Hotline.

• Participate in extensive trainings and Safe Shelter Management trainings.

• Submit daily safe shelter activities report, weekly and monthly program reports that map the projects’ implementation progress and outline upcoming objectives.

• Attend internal and external meetings as needed.

• Receive representatives of embassies.

• Receive donors and partners and organize their visits to the safe shelter.

• Follow Caritas Lebanon operational policy and procedures.

• Respect the internal policies and procedures for example: dress code, attendance, discipline, etc.

• Complete schedules, activity planners, monitor staff availability and act against any shortfalls.

• Resolve any staff issues and escalate any unresolved issue to the related manager.

• Perform other related duties as assigned by the supervisor.

• Ability to work in the field with people from diverse backgrounds.

• Commitment to the confidentiality of the Safe Shelter location and programs and priority of the safety of women and children in the Safe Shelter.

• Strict adherence to Safe Shelter policies and procedures and SOPs.

• Ability to maintain reporting systems and monitor program goals.

• Excellent follow-up skills and analytical thinking.

• Ability to prioritize, multitask and complete tasks in a professional timely manner.

• Good verbal communication and presentation skills.

• Efficient planning and organization skills.

• Creative approach to finding solutions.

• Proficient in English, French and Arabic both written and oral.

TEAM MANAGEMENT

• Provide on-going leadership and support to staff.

• Conduct timely performance evaluations and staff development.

• Recommend disciplinary action as needed following established policy.

• Control knowledge of procedures and ensure their strict implementation.

• Give clear responsibilities to the team.

• Provide assistance and organize good communication with the team.

• Organize and facilitates meetings as needed.

• Ensure the department staff is informed of the policy changes.

• Organize and maintain departmental communication system that encourages staff participation.

OTHER QUALIFICATIONS

• Bachelor degree in Social Work

• Communication, writing, analytical and negotiation skills.

• 5 to 10 years of experience in related field.

• Language skills: English and Arabic.

• Computer Literacy: MS-Word / MS-Excel – Intermediate level.
