Community Events & Outreach Lead

KEY RESPONSIBILITIES

  • Design a 6-month event and outreach strategy aligned with YUP’s objectives.
  • Plan and deliver a minimum of 11 public events, with a target of at least 50 attendees per event:
    • At least 5 events in Bar Elias
    • At least 5 events in El Mina
    • 1 national-level event in Beirut
  • Develop creative, inclusive, and context-appropriate event formats.
  • Autonomously manage all coordination and delivery aspects, including required permits.
  • Identify, engage, and follow up with key stakeholders to ensure strong attendance.
  • Integrate YUP platform onboarding and use into every event.
  • Produce short post-event reports and a final summary report.
  • Coordinate closely with the CatalyticAction team to ensure impactful delivery, including close communication with the Communications Officer and YUP research team members.

 

DELIVERABLES

  • Inception report: Approved list of events, outreach strategy, and workplan calendar.
  • 11 successfully delivered events (minimum 5 per city plus 1 national event).
  • Active promotion and onboarding to the YUP platform at all events.
  • Brief report for each event, using a reporting template developed by the consultant and approved at the start of the consultancy.
  • Final consolidated report with results, impact, and lessons learned.

 

EXAMPLES OF POTENTIAL EVENT FORMATS (INDICATIVE)

The selected applicant will be expected to propose and design their own event concepts. The examples below are illustrative only:

  • YUP pop-up booths in high-footfall public areas
  • Youth–municipality dialogues or town halls using YUP for live input
  • Neighbourhood walks and participatory urban mapping activities
  • School or university sessions introducing youth to urban governance through YUP
  • Community dialogue circles focused on local priorities
  • Youth-led innovation sprints on urban challenges
  • Arts, culture, or sports-based activations integrating YUP platform use
  • National-level convening in Beirut

 

CANDIDATE / APPLICANT PROFILE

For individuals:

  • Proven experience organizing community or public events end-to-end.
  • Ability to work independently with minimal supervision.
  • Experience engaging youth and diverse local stakeholders.
  • Capacity to manage coordination, permits, and on-the-ground delivery.
  • Availability to work on-site in Bar Elias, El Mina, and Beirut.
  • Strong Arabic communication skills; English is an asset.

For organisations:

  • Legally registered local organisation.
  • Demonstrated experience in community engagement, event delivery, or youth-focused programming.
  • Ability to designate a lead focal point responsible for delivery.
  • Local presence or strong networks in Bar Elias and/or El Mina.

 

CONTRACT, BUDGET, AND PAYMENT

This is a 6-month consultancy contract.

  • The maximum available budget for this consultancy is up to USD 8,000 (consultancy fees only).
  • Applicants must submit a financial proposal indicating their proposed lump-sum consultancy fee for the full duration of the assignment.
  • The financial proposal should include a short indicative cost breakdown (maximum half a page), for example by allocating the total proposed fee across key work components such as:
    • Event design and strategy
    • Stakeholder outreach and coordination
    • Event delivery and on-site support
    • Reporting and documentation

        The breakdown is for indicative purposes only and does not require daily rates or detailed budgeting.

  • Costs related to event implementation (e.g. venue rental, materials, catering) will be managed separately by the project and should not be included in the consultancy fee.
  • Payment will be made as a lump sum linked to clearly defined deliverables and milestones.
  • Selection will be based on best value for money, taking into account both technical quality and cost.

YUP is an online platform that promotes meaningful youth engagement in urban governance, enabling young people and local stakeholders to share priorities, voice needs, and contribute to local decision-making. The YUP platform is currently under development as part of the YUP project (https://yupcities.org/about/).
