Project Production Assistant

Reports to: Senior Marketing and Fundraising Coordinator Liaises with: MF department team   Job definition   The PPA assists and supports all production and artistic operations functions. The PPA establishes and maintains relationships with internal and external contacts including vendors, venue contacts, consultants, freelancers, professional contacts, artists, technical and creative service providers specialists. The PPA plays an essential role in processes that insure successful implementation of the artistic brief and vision and coordinates with staff, volunteers and external contacts to meet deadlines, budgets and to resolve project issues. This position involves equal amounts of “hands on” work and administrative duties. Main Responsibilities in Planning -        Collaborate closely with staff to create annual and project production budgets and calendars. -        Assist with the creation and management of production‐ related contracts. -        Create rehearsal schedules and timelines for performances. -        Research, scout and screen locations, venues and suppliers for shootings and events. -        Research, identify and secure new talents and performers. Main Responsibilities in executing -        Assist in the execution of all events, including fundraising dinners, movies, concerts, conferences, fairs, community reunions, and other events and travels if need be to execute international events.   -        Assist in the execution of projects related to our social ventures mainly our F&B venture and our Garage sale venture. -         Executes auditions, rehearsals, photography, video shooting and follow up on editing as necessary and ensures art direction needs, props, wardrobe & cast. -        Executes the production of specific communication or fundraising tools. -        Coordinates and attends rehearsals, and ensures logistics and meals. -        Oversees set up and dismantling operations and procedures of rehearsals, performances, events, projects Relation Building -        Works with venue coordinators to facilitate venue related issues (security, parking, AC, restrooms, electrical needs, sound, light, seating…) -        Works with sound, lighting, visual, recording, moviemakers, music director, stage managers, performers and personnel during performances and events. -        Grows and maintain relationships with key external suppliers, inkind donors and technical production companies. -        Assists in attracting and maintaining volunteers and managing the volunteer input     Other duties -        Assists in identifying and screening potential fairs and other opportunities for the NGO to participate in and attend for more accurate reporting. -        Support all aspects of the development and maintenance of the NGO brand, products, props, equipment and stands -        Assist in taking pictures and posting imagery, promoting happening productions, rehearsals and live events -        Develop the needed procedures of the production unit. -        Carry out administrative and reporting duties as well as organizing and maintain stock -        Maintain database of venues, suppliers, artists and volunteers. -        Ensure that ethical and professional standards are met. -        Perform other related tasks as required. Experience  A minimum of 3 years of relevant experience is required. Experience as professional or volunteer in events, performances, filming or production roles, is required. Education Bachelor degree in one or more of the following areas: production, marketing, communications, design, cinematography, or related majors. Other requirements & skills .         Age: 27 and above .         Languages:  Fluent in Arabic, English. Understanding French is a plus .         Computer skills:  Competent in using Word, Excel, Power Point, Internet .         Eager to learn and accept direction .         Excellent verbal and written communication skills, .         Excellent interpersonal communication skills. Demonstrated evidence of successful teamwork. Comfortable with occasional public speaking .         Excellent timekeeping, organizational and prioritization skills. .         Proactive attitude towards technical and creative challenges. .         Ability to handle varied levels of multi‐tasking and to adapt to rapidly changing environments Personal attributes .         Talented and bright individual .         Honest, transparent, patient and humble .         Inquisitive mind, with a “can do” work ethic and positive attitude .         Strong sense of responsibility and accountability .         Ability to be calm under pressure and maintain high standards. Additional Information  .         Working hours vary depending on production schedule including in evenings or weekends. .         This position might require travel for training and production purposes and an ability to drive to different places in both day and nighttime conditions. .         Physical requirements includes light moving/organizing goods/equipment and set ups. .         Must have transportation and smart phone for work related use.
