FINANCE AND ADMINISTRATIVE ASSISTANT

The position is based in Baabda within the framework of “EDU TOP - Technical and Vocational Education to improve Skills, Opportunities for Decent Work and Prosperity for vulnerable youth in Lebanon” funded by AICS. 

Job Responsibilities: 

Prepare payment requests and expense reimbursements in compliance with the donor’s administrative regulation 

Ensure all financial documents are properly signed, coded, and supported before submission 

Enter daily financial transactions into the accounting or tracking system 

Maintain organized filing of vouchers, invoices, receipts, and supporting financial and administrative documents 

Assist in collecting quotations, preparing purchase requests and purchase orders 

Collect and verify financial and administrative documents 

Support procurement of office supplies, stationery, and educational materials 

Check and match supporting documents for payments 

Ensure timely collection and filing of supplier invoices and staff receipts 

Support monthly closing by ensuring all documents are complete and properly filed 

Maintain attendance sheets, leave records, and staff contact lists 

Assist with logistics for meetings, workshops, and training sessions (venue booking, refreshments, materials preparation, etc.) 

Support audit and donor review processes by organizing supporting documents. 

Perform any other duties assigned by the line manager/s 

 Qualifications, Skills, and Personal Attributes 

Bachelor’s degree in Accounting, Finance, Business Administration, or a related field 

 1–2 years of experience in finance and administration, bookkeeping or accounting systems (preferably in NGOs or educational projects) 

Knowledge of accounting procedures and documentation 

Aptitude for numbers 

Proficiency in Microsoft Office (Excel, Word, Outlook), with strong skills in spreadsheets 

Excellent command of English and Arabic for documentation, communication and reporting 

Strong attention to detail, organization, and accuracy 

Good communication and teamwork skills 

Ability to work independently and within a team 

Ability to maintain confidentiality and follow established procedures 

Knowledge of AICS and PRAG procurement procedures will be a plus
