Lebanon Water Project (LWP) Scope of Work Office Manager, Long Term Position   General Objective: The Office Manager will ensure efficient management of the operational aspects of the project, as well as overall compliance with contractual requirements, DAI policies, USAID regulations and local law. S/he supervises the logistics staff and oversees security, vehicle fleet, project office and project assets. S/he also ensures the project’s operational policies and procedures are up to date and coordinates required revisions with the Operations Director and DAI’s home office project support team. Responsibilities: Support daily administrative operations of the project, including facilities, logistics, security, record and file management. Support receipt and timely distribution of mail, DHL and other communications to responsible project staff. Ensure that administrative records are well-organized, maintained and updated. Maintain communication with DAI’s home office staff on administrative and operational aspects of the project. Coordinate project needs with local legal counsel. Coordinating with HR Officer to ensure that all new and current staff receive adequate project orientation and training on personnel policies, administrative procedures, security and related. Support HR function as needed, which may include recruitment, salary negotiations, hiring/on-boarding, file/document management and assurance that required documents are obtained, maintained, verified and safeguarded appropriately. Support staff, subcontractors and other project guests visiting the project office. Schedule and prepare materials for meetings and coordinate for conferences, workshops, and training sessions as required. Coordinate travel/logistics arrangements and maintain project travel schedule. Petty cash custodian. Maintain and manage petty cash account. Maintain relationships with the landlord, office building management, and vendors or suppliers who provide administrative and/or operational project support. Responsible for securing, maintaining and updating project assets/inventory of all project property and coordinating related reconciliations of such assets with the finance unit. Responsible for coordinating transmission and receipt of items that may require customs clearance and other regulatory offices. Ensure project staff are properly trained in project data management systems, and that staff actively incorporate the data management system (TAMIS) into daily project activities. Supervise project logistics, vehicle fleet management and maintenance and project assets. Other duties as assigned.  Qualifications: Bachelor’s Degree in Business Administration or relevant field. At least 5 years of work experience in office administration, preferably on a donor-funded project. Excellent analytical and organizational skills. Excellent communication skills including written communications in English and Arabic.  Reporting: This position reports to the Senior Director of Finance and Operations
