Who are we?DRC has been operating in the Middle East and North Africa for over a decade, running a combination of livelihood, protection, advocacy and relief projects. DRC has six project offices throughout Iraq, Lebanon, Syria, Tunisia/Libya, Turkey, and both a country and regional office in Jordan.DRC Lebanon has been assisting the Syrian displaced, fleeing Syria into northern Lebanon, since May 2011. DutiesOffice Logistics: •Under the direction of the Deputy Head of Program, organize the minimum set-up before project launch, including vehicle and office rental, basic procurement of office supplies, furniture and equipment, and prepare office for project implementation (by May 2015);•Manage all procurement processes in accordance with DRC policies and procedures, in a transparent, accountable, efficient and cost effective manner;•Coordinate fleet management to ensure that vehicles are insured, assets are managed correctly, being driven safely, maintained appropriately, damages are reported, and ensure that vehicles internal equipment are complete and serviceable; and that usage of fuel is correctly supervised, and recorded;•Manage all reimbursement of refugees coming to or going from the field office in accordance with DRC and donor policies, ensuring accurate documentation is available for all cases;
Office Administration:•Support the Deputy Head of Program with any administrative tasks as required, including filing, preparing purchase and payment requests and receiving invoices (matched against approved purchase orders or contracts);•Prepare regular petty cash reconciliation reports for the project, ensuring all necessary documentary evidence is attached for signature of the Deputy Head of Program and Prepare payment requests ensuring all the necessary documentation is included before submission to Deputy Head of Program for signature;•Support the DRC Human Resources with the completion of the pre-employment documentary requirements for newly appointed staff and help ensure that each staff member’s personnel files are complete;•Draft letters and correspondence as required, and translate (Arabic- English) informal documents for daily office needs;•Liaise with the main DRC Lebanon office (Finance and Admin Department) in matters relating to administration and finance;
About you
•Qualified candidates have experience working in logistics with a mid- to large- scale project or office, ideally with a focus on refugee or humanitarian work.
•Conscientious and efficient in meeting commitments;
•Shows persistence when faced with difficult problems or challenges;
•Professional proficiency in spoken and written Arabic and English; Computer proficiency highly desirable, particularly use of MS Excel;
•Familiarity with DRC programme and operational procedures a plus.
•At least 3 years of experience working in logistics and administration, preferably with an international organization;
•Successful experience working as part or lead of a logistics team, with demonstrated experience in procurement, office management, and basic admin/finance duties;
We offerAn interesting job in one of the best NGO’s in the world. DRC will offer the successful applicant a six month contract, renewable dependent on both funding and performance.
