Finance and Administration Assistant

Danmission is seeking a Finance and Administration Assistant (FAA) who will be responsible to assist the Finance & Administration Manager in supporting the Regional Office in Lebanon in various finance and administrative tasks to ensure the smooth day-to-day operation. The FAA is moreover responsible for assisting in delivery of finance and administrative services in support of Danmission’s Regional Programme, with special emphasis on financial statements- and accounts, processing invoices and payments and supporting the finance archiving.

AREAS OF RESPONSIBILITY:

Finance:

  • Verify that all vouchers and supporting documents are according to Danmission’s standards.
  • Post the necessary JVs into the accounting system (NAVISION) on daily basis in addition to the documents soft copies.
  • Prepare and get approval for payments.
  • Manage the office petty cash and ensure its accuracy and sufficiency on daily basis. Regular bank visit for transfers and payments.
  • Assist the Finance Manager in the monthly accounting closing process, ensuring accuracy and completeness of the ledger and all supporting documents.
  • Assist on the yearly office audit.
  • Follow up on advances and refunds with employees and contractors.
  • Advise and support staff on financial and administrative policies, and documentation requirements.
  • Ensure that expenditure from the main account is accounted in appropriate budget lines and on relevant projects.

Administration:

  • Make sure that the timesheets are update and ensure timely submission on Navision.
  • Check, monitor and register all kinds of leaves requests and report it to the supervisor and higher manager for approvals.
  • Maintain timely travel arrangements and accommodation of staff and guests.
  • Supervise Beirut Office cleaners and make sure they are following cleaning schedules.
  • Check the quality of the office supplies. Purchase food- and nonfood items.
  • Support staff in preparing meetings (make sure stationary is in place, flip charts, projector and other needs)

WHAT YOU SHOULD HAVE:

  • Relevant degree and professional qualification in Administration, financial management or accounting
  • At least 3 years of relevant working experience, preferably from international organizations or NGOs
  • Experience in working with web-based accounting systems, preferably Navision
  • Strong IT-skills (MS Office, advanced spreadsheet, Navision)
  • Organized and has attention to details
  • High integrity and honesty
  • Analytical, critical thinker and good problem-solving skills
  • Open and cooperative approach towards working with others.
  • Advanced Arabic and English proficiency
  • Lebanese national or authorized to work in Lebanon
