Admin Volunteer _ Contra

The GIZ -ConTra programme is looking for an Admin Volunteer. The admin volunteer will ensure support in the effective implementation and closing of the programme until end of June 2022.
The admin volunteer will work under the orientations of the Finance & admin officer, to whom he/she shall report directly and ensure a culture of communication and cooperation contributing actively to the precise and effective implementation of the project.
- Required qualifications, competences and experience
- Preferably university degree in Business Administration or similar relevant field
- A previous work/volunteer experience with INGOs or NGOs is a plus
- Ability to think and work independently and work precisely with attention to detail
Other knowledge, additional competences & skills
- Excellent English and Arabic language knowledge in writing and speaking
- Eye for details and capability of monitoring lists, and documentation of processes
- Ability to cope with a dynamic and fast changing situation in the development context
- Good working knowledge of IC- technologies (related software, email, internet) and computer applications (e.g. MS Office 365)
- Team-player
- Lebanese driving licence
- The admin volunteer will support in the following
- supports in administrative and logistical issues (e.g. preparing internal meetings & taking minutes, collecting travel claims, etc.)
- supports in logistic aspects of missions and visitors as well as consultants of the project: draw up travel schedules/visit schedules, assure accommodation and transportation
- conducts regular office duties (e.g. relevant correspondence in Arabic and English, receiving visitors and answering queries on project related issues).
- monitors the availability of stocks and consumables, updates list, assures availability of information material
- is responsible for proper IT performance and follows up with IT specialist and vendors to update and maintain the project’s IT systems
- follows up on office maintenance, cleaning, etc
- Checks inventory according to GIZ rules and regulations
- supports team members and selected partners with travel arrangements.
- creates and maintains important contact addresses (partners, services & procurement etc.).
- manages the GIZ car logbook, fuel consumption and maintenance of the project car.
- Supports in translating documents and letters from Arabic to English or from English to arabic
- communicates with partners (municipalities, consultants, construction firms, NGO´s)
- keeps the document filing up to date (physical and electronical filing)
- prepares taking over/handing over documents and releases them
- supports organizing events (i.e. closure event)
Project Description: The conTra project is based in Beirut and works in vulnerable communities in Lebanon. It will focus on enhancing the living conditions in these communities. Two elements are combined and linked: a construction and a training component. The political partner is the Ministry of Social Affairs (MoSA). Together with this partner and the participating communities labour intensive infrastructure or maintenance and rehabilitation measures will be implemented (construction). These construction measures will be implemented through people who work in the local construction sector and have received short term training that is requested and needed for the respective job (training). The training also enhances the perspective of the people in the job market. The project will work closely with the private sector.
