Supply Chain Assistant (Service Contract)*
in Beirut
The position is to be filled by November 1, 2022. The type of Contract will be a Consultancy Contract (Service Contract) )The service location will be Beirut, Lebanon. The position is paid according to SG5 [[paygrade]].
Your responsibilities
Receives Supply Purchase Requests (SPR), Records SPR and updates Procurement Tracking Sheet.
Process the requestions and SPRs sent by program in collaboration with Supply Chain Officer.
Responsible for implementation of procurement procedure as per WHH procurement policy and threshold.
Sourcing Suppliers and send Requests for Quotations / Proposal to potential vendors.
Knows the local market and available suppliers. Selects the best suppliers to request quotes from as per price and quality from the vendor database.
Keeps suppliers contact records and update supplier ‘s list.
Uses all means of communication available in the most efficient manner to contact the suppliers and request the quotes
Submit the received offers along with Comparative Bid Analysis (CBA) table to Supply Chain Officer for review, validation and to issue related Local Purchase Orders (LPO)
Delivers the Local Purchase orders to the selected suppliers. Ask signature and provides a signed copy to the supplier as order. Update Supply Chain Officer on Delivery time/location and other related details.
Proceeds to the copies and archiving of procurement file as per procurement procedure.
Support WHH team, consultants, visitors in Venue booking, Hotel Reservation, Transportations, Airport Pick-up, and drop-off and in other related logistical support.
Implements any additional task and duty requested by his direct supervisor.
WHH Local Partner’s Support:
Ensure local partner/s procurement unit are following Donor’s procurement rules and requirements.
Review local partner/s procurement documents, ensure right process according to right threshold will be applied, provide required support when needed for procurement value up to 5,000 EUR.
Coordinate with and support WHH Supply Chain Officer in local partner/s tender review and obtain required WHH approvals.
Attend Weekly update meetings with local partner/s procurement unit and ensure their procurement tracker is up to date.
Visits to local partner/s, and support WHH Supply Chain Officer in conducting partner’s procurement spot-check.
Ensure all files were up-to-date and uploaded on ProMIS
Your profile
Qualifications and Education Requirements
Vocational Training Diploma / Bachelor’s Degree in supply chain, Business Management, Business Administration, or any other related field.
Minimum 0 - 2 years of experience in supply chain, procurement, logistics or other relevant experience
