Admin And Finance Manager

ECODIT LIBAN is seeking a full-time Admin and Finance Manager to support its business activities in Lebanon and the region. Responsibilities The Admin and Finance Manager will be responsible for the following tasks: Develop and maintain the firm’s accounting system and procedures, including recordkeeping, segregation of direct and indirect costs, and entering financial transactions into the firm’s accounting software Manage accounts payable and accounts receivable, including: Review for completeness and process all payments and invoices Cut checks for signature by the Director Develop, update and maintain the firm’s HR systems and procedures Process monthly payroll and maintain personnel files, including tracking leaves Develop an efficient electronic filing system and manage the installation and operation of a new company server with remote document retrieval capabilities Manage the procurement of office supplies, equipment, etc. as well as communication with general suppliers regarding billing or technical problems (e.g., phone providers, Internet provider, insurance companies) Lead the firm’s participation in fairs and exhibitions Prepare project invoices and proposal budgets with input from other staff as needed Direct and/or oversee all logistics of staff and consultant field trips, including document mailing and submission Ensure timely submission of all official documentation to public institutions including the National Fund for Social Security, the Ministry of Finance (including VAT department), and Baabda Municipality in coordination with the firm’s Certified Public Accountant (CPA) Assist the Director in preparing annual reports and business plans and on other matters as necessary. Selection requirements Bachelor’s or Master’s degree in business administration, economics, or related field At least 5 years of experience in admin and finance, preferably in a consulting firm Proven research and analytical abilities and quantitative skills; Knowledge of basic accounting and prior experience with accounting software (QuickBooks, Visual Dolphin, etc.) Strong oral and written communication skills in English and Arabic, French a plus Proficiency in using Microsoft Office, in particular Outlook, Word and Excel Sound judgment and initiative Human Resource management experience is preferable Ability to identify and apply adapted solutions to operational problems Prior work experience in a consultancy firm (consulting environment). The Admin and Finance Manager will report to the Director.  He/she will manage the Logistics Coordinator and liaise with the firm’s external CPA and legal counsel.
