Finance & Admin Assistant

The Finance & Admin Assistant will support the SDC Lebanon Office – Beirut in all tasks related to Finance & Administration.  Duties and Responsibilities  1.     Finance   Assist and deputize when needed the Finance/Administration Officer Create and use financial and statistical tools and reports using spreadsheets Ensure transactions are properly recorded and entered into the finance spreadsheet using Navision system Prepare/review proper documents (according to SDC rules) for all payments Review project budgets and assist in establishing figures for annual office budget Assist in updating annual regional budgets and inform supervisor on overspending Support preparation of financial aspects for monthly Internal Control System (ICS) Establish and maintain cash management and controls Maintain financial files and records  2.     Human Resources   Assist in the administration of personnel (contracts, terms of reference, social security, health insurance, salaries,       establish and maintain personnel files) Support in developing and updating employees’ documents Verify/Control staff attendance, leave time, vacation Assist in introducing new employees to all relevantSDCHR instructions and HR procedures UpdateSDCstaff on changes in HR procedures and HR instructions (local and HQ) Organise necessary visa applications / immigration clearance procedures for international staff  3.      Administrative   Manage, organize, and update relevant data using database applications Integrate SDC rules and instructions Assist and support supervisor in all administrative tasks Assist in administrative tasks related to Swiss experts on mission in Lebanon Candidates are expected to fulfil tasks not included in their TOR if deemed necessary by the Supervisor or Head of Office.  Skills and Abilities High degree of managerial, administrative and organisational skills Fluency in English and Arabic (mother tongue), French or German are an asset Excellent computer skills (Excel, Word, PowerPoint) Precision and analytical skills Reliability, discreteness, efficiency Ability to identify priorities, proactive, honest and punctual Good interpersonal skills and team spirit Good personal management and organization, able to work independently Service oriented approach within the organization to facilitate the work of all departments Vacancy only for persons residing in Lebanon  Experience Sound professional experience in Finance and Administration Three years working experience preferably with an international organization   Please send your CV along with a motivation letter and three references to beirut@sdc.net  by  August 31, 2012.
