WordPress Website Migration & Maintenance, Development & Hosting Support

Scope of Work
We are seeking a qualified and experienced WordPress web service provider to:

• Migrate our current website structure and content to a modern, secure, and responsive WordPress platform.
• Provide ongoing maintenance and support post-migration.
• Implement feature enhancements and development updates as needed.
• Offer technical hosting support or manage coordination with hosting providers.
• Ensure timely bug fixes and content changes, especially during campaigns and peak outreach periods.

Proposed Website Setup (Post-Migration)

• Platform: WordPress (latest stable version)
• Preferred Builders/Tools: Elementor, WPForms, WooCommerce, Areeba, Breakdance (for donations)
• Hosting: To be recommended (shared, VPS, or managed WordPress hosting)
• Integrations: Mailchimp, Google Analytics, SEO plugins, multilingual support (WPML or equivalent)
• Code Repository: GitHub (optional for theme/plugin customization)
• Security: Role-based access, backups, SSL, malware scanning
• Monitoring: Uptime and error logging tools (such as Jetpack, WP Activity Log)

• Hosting: Azure Virtual Machine (France – Remote Desktop access)

• Authentication: Basic password encryption (no role-based access)
• Backups & CI/CD: No automated backups or pipelines currently in place
• Monitoring: Basic error logging system (local file logging)

Operational Context

• The website is managed by the Embrace Communications team, who will serve as your main point of contact.
• The engagement model will follow an annual retainer covering routine maintenance and updates, with any larger upgrades or expansions to be billed per project.
• Timely responsiveness is crucial, especially during campaigns and media outreach.
• Full access to current content and visual structure will be provided for replication and migration.

What to Submit
Interested providers are asked to submit the following:

1. A brief company profile and examples of WordPress projects (preferably NGO or public sector-related).
2. Proposed engagement model, including:
   • Annual/monthly maintenance retainer
   • Hourly or project-based rates for new features or expansions
3. Estimated response time for technical issues and support SLAs (if applicable).
4. Your approach to backups, security, SEO, and multilingual support.
5. References or portfolio links, if available.
