Procurement and Logistics officer

The Procurement & Logistics Officer is responsible for ensuring that Embrace has the necessary supplies and services to carry out its mental health programs effectively. This involves sourcing goods, negotiating with suppliers, and coordinating deliveries. In addition, Procurement and Logistics Officer collaborates with different departments to meet operational needs and optimize logistics, helping Embrace run smoothly while maintaining cost efficiency. 

 

1.  MAJOR DUTIES AND RESPONSIBILITIES

  • Managing and increasing the effectiveness and efficiency of Procurement and Logistics through improvements as well as coordination and communication with department managers.
  • Leading the procurement process including managing purchase requests, collecting and evaluating quotations, issuing purchase orders and liaising with suppliers. scheduling receiving of goods/assets, and archiving procurement records as per the policy and producers.
  • Reviewing and managing contract agreements including proposal reviews- tender evaluations and agreements.
  • Directing and assisting departments’ manager/director in setting the department’s annual procurement plan, schedule, and procurement workflows.
  • Designing and maintaining inventory of assets, material resources, technology, and space to assist in annual planning.
  • Continuously reviewing the procurement policy to ensure alignment with organizational best practices and donor requirement.
  • Managing logistics processes and day-to-day operations to ensure continuous follow up and compliance with minimum standards and policies.
  • Managing and providing support on systems and compliance for providing quality services for facilities management.
  • Overseeing daily facility operations (generator- solar system- copiers- air conditions, etc.)
  • Managing IT Services with outsourced suppliers for hardware and software maintenance.
  • Maintaining contact with outsourced services and establishing good relationship for the progress of the business.
  • Performing other tasks as assigned by Managing Director in support of the organization’s goals and objectives.
  • Planning, implementing, and monitoring of special projects as evolving.

 

2.  QUALIFICATONS

Critical Skills

  • Bachelor’s degree in Business Administration, Public Health, or related field.
  • At least 5 years’ experience leading similar operations in medium to large organizations, preferably in healthcare.
  • Excellent Command of English and Arabic.
  • Proficient in Microsoft Office Tools (Word- Excel- PowerPoint)
  • Excellent knowledge of business and management principles such as planning, resource allocation, human resource modeling, and customer
