Administrative Assistant

The Global Health Institute (GHI) at the American University of Beirut is looking for an Administrative Assistant with excellent communication skills and a positive attitude. Candidates should be able to assist the management by handling office tasks, providing polite and professional assistance via phone, mail, and e-mail, making reservations, travel arrangements or any other administrative tasks including:

  • Provide general support to visitors
  • Answer and direct phone calls
  • Organize and schedule meetings and appointments
  • Develop and maintain a computer and manual filing system
  • Maintain office supplies by checking inventory and order items
  • Book travel arrangements
  • Be the focal point for staff daily inquiries
  • Carry out administrative duties such as typing, copying, binding, scanning etc.
  • Book conference calls, rooms, taxis, couriers, hotels etc.
  • Reply to email, telephone, or face to face enquiries
  • Handle sensitive information in a confidential manner
  • Assist in any administrative task when needed

Required Knowledge, Skills, and Qualifications

  • Bachelor’s degree in any field
  • Excellent computer skills
  • Excellent time management skills and ability to multi-task and prioritize work
  • Strong communicational skills
  • Attention to details
