Operation Officer (Damascus & Alepp)

Job Purpose:

The Operations Officer plays a vital role in ensuring the efficient and effective execution of the organization’s procurement and logistics activities. The role involves sourcing, purchasing, managing logistics operations (warehousing, fleet, and assets), and ensuring the timely delivery of goods and services. The Operations Officer also ensures compliance with organizational policies, cost-effectiveness, and ethical standards.

Key Responsibilities:

1. Supplier and Contractor Management

· Identify and select suitable suppliers and contractors to ensure alignment with the organization's standards, focusing on sustainability, ethical purchasing, and cost efficiency.

· Maintain strong relationships with suppliers and regularly renegotiate terms to secure favorable pricing and service levels.

2. Procurement Planning and Execution

· Collaborate with internal departments to assess procurement needs, quality standards, and delivery timelines.

· Prepare and issue purchase orders, ensuring accuracy and alignment with organizational requirements.

· Keep track of order status and monitor delivery timelines to ensure timely receipt of goods and services.

3. Logistics & Warehousing

· Oversee warehouse operations, including receiving, storage, stock management, and distribution.

· Ensure accurate record-keeping of warehouse inventories in compliance with policies.

· Manage fleet operations, including scheduling, fuel consumption, and maintenance.

· Oversee asset management, including tagging, tracking, maintenance, and disposal in coordination with the logistics team.

4. Receiving and Distribution

· Receive and inspect deliveries to confirm compliance with order specifications.

· Organize and distribute goods efficiently to the relevant departments or project sites.

5. Market Monitoring and Product Evaluation

· Monitor product availability and market trends to identify potential procurement and logistics opportunities.

· Recommend product and service updates based on evolving organizational needs.

6. Database and Records Management

· Develop and maintain a comprehensive supplier and logistics database, ensuring it is regularly updated with accurate information.

· Maintain proper documentation of assets, fleet, and warehouse records.

7. Reporting

· Prepare and submit detailed reports on procurement and logistics activities, including cost analysis, supplier performance, inventory, and order status.

· Provide regular updates to management on procurement, logistics performance, and challenges.

Qualifications and Skills:

· Education:

o Bachelor’s degree in Supply Chain Management, Logistics, Business Administration, or a related field.

· Technical Skills:

o Proficiency in Microsoft Word, Excel, PowerPoint, and ERP systems (e.g., Odoo, Dynamics).

· Personal Attributes:

o High level of integrity and ability to manage confidential information with discretion.

o Strong organizational skills and the ability to manage multiple tasks under tight deadlines.

o Adaptability and problem-solving skills to adjust to changing circumstances.

o Excellent interpersonal and communication skills to collaborate effectively with team members, suppliers, and service providers.
