Administrative And Hr Assistant

Human Resources Management (National Staff) and regional team   Ensure the application of Human Resources policy and instruments (contract, internal regulation, term and condition of engagement, assessment, training, mobility...) Ensure the recruitment policy has been followed, using all Handicap International forms and standard (assist the definition of the job profiles and prepare the job advertisements, support the team for pre-selection of candidates, organization of interviews, induction). Responsible for the HR database and its follow up: contracts dates, probationary period, extensions,  contracts amendments Prepare and translate contracts for new employees Implement and follow up attendance sheets; follow up leave requests and ensure they are validated by the right persons and update the follow up file Maintain historical human resource records by designing a filing and retrieval system; keeping past and current records. Prepare and process the payments of HI staff salaries and advances, Prepare and sent to HR Beirut all relevant documents to register/cancel to the relevant organisms new staffs (MoF, NSSF, Fidelity…) Liaise with Lebanon mission for visa process and embassy registration Book and follow-up flight ticket Create, manage and share a CV database Support the Admin Coo in any disciplinary measures taken toward any employees Liaise with Lebanon mission admin team for information sharing Act as a focal point between staff and management on HR related issues Support Administration coordinator in all staff members professional development component (appraisal, training…)  Administration Responsible for the overall filing of administrative / human resources documents Prepare on a monthly basis legal documents to be submitted to authorities Support Administration coordinator in all related legal issues encountered by the mission Carry out administrative briefings during induction process Prepare all service contracts upon request of managers and coordinators Translation tasks   Translation and classification of administrative documents Collect all partner’s report and translate from Arabic to English each receipts Support the finance officer to analyse the cash book and check if invoices are missing Reports all mistakes in a different sheet Classify all invoices (coding stamp filled, staffing table signed, following HI chronological numbers)
