Hom Assistant - Hi Emergency Division - Beirut

  GLOBAL OBJECTIVE OF THE POSITION    Under the line management of the Head of Mission the HOM Assistant is responsible for   Participate to the global coordination of the program implemented in the country (may it regards strategic, operational, human, material or financial aspects); Participate to the reinforcement of the structuration of the mission Under head of mission delegation, represent Handicap International towards local authorities and partners; Provide relevant context analysis to the Mission Management; Ensure internal communication activities and improve dissemination of the information; Assist the Head of Mission in his coordination duties; Provide support to the Mission according to needs and priorities; Contribute to reporting duties.     ACCOUNTABILITIES Line manager: Emergency response division Head of Mission (ERD HOM)  In direct cooperation with: Coordination team, support services   RESPONSIBILITIES Objective 1:Coordinate / participate to the strengthening of the mission Activities/Main duties: a. Establish a list of procedures / tools to put in place to reinforce the functioning of the mission b. Establish a clear process of validation within the mission to update or create those documents c. Participate to their creation and coordinate their validation d. Participate to the capitalisation process by collecting, classifying, circulating all relevant documentation produced by       the mission e. Ensure their regular update and respect by all team members Objective 2:Participate to the general coordination of the mission Activities/Main duties: a. Assist daily the Head of Mission in his coordination duties (minute of meetings, memo, emails); b. Manage the mission events calendar; c. Prepare and organize monthly staff meeting and any other mission events (workshops, gathering...); d. Contribute to ensure a proper coordination/liaison with the other HI Mission & region e. Produce internal guidelines compiling the different process/rules to be applied in the mission for all staff. f. Prepare, organize and manage the field visit for HI visitors in Lebanon, and update the follow up tool; Objective 3: Participate to the external representation of Handicap International Activities/Main duties: a. Under the delegation of the emergency head of mission, participate to external coordination meeting b. Produce and manage communication materials (maps, pictures, posters, leaflets); c. Ensure the dissemination of relevant information to all HI staff members (reports, newsletter, etc.); Objective 4 : Participate to the realization of the internal / external reporting Activities/Main duties: a. Realize / coordinate the production of the internal Sitrep of Handicap International b. Participate to the production of donors reports when needed c. Participate in the writing of all documents as required by the head of mission (strategic documents, internal     memos, MOU etc.) Objective 5 : Participate to the security management Activities/Main duties: a. Follow actively the socio-economic, political and security context at national and regional level; b. Compile and analyse all the security Sitrep sent by the bases c. Participate to the update of security documents d. Participate to the management of security when needed Objective 6 : Participate to the security management Activities/Main duties: a. Ensure when needed adequate follow up of activities (cash instalment, indicators follow up etc.) b. Upon HoM request, provide support to other Coordinators in their monthly duties REQUIREMENTS Background: Master in Humanitarian Studies, Political Sciences or related field  At least 2 years of professional experience Previous experience with Handicap International will be an asset Experience in the Middle East would be a strong asset           Languages: English, Arabic  mandatory (oral and written), French an asset Driving licence:. not mandatory Computer skills: Proficiency in current office software applications Personal qualities & soft skills:         Strong communication and reporting skills Strong organisational skills   JOB CONDITIONS Remuneration: according to HI salary grid Starting date: ASAP Duration/ Type of contract: Six months contract (renewable) Social insurance: Covered by Handicap International
