HR Assistant

OBJECTIVE OF THE POSITION:

Under the supervision of the HRManager, the HR assistant is going to ensure the daily HR activities within Beirut office.

 

REPONSIBILITIES:

 

Responsibility 1 : Contribute to the national personnel administration

Aim : Assist the HR Manager in ensuring  that national staff files are complete and staff information is followed-up

Benchmark: Quality of individual files, adherence to deadlines, quality of monitoring charts

Activities:

  • File employee’s personal documents
  • Collect and check all HR forms received by the HR department (Leave request, advance request,…)
  • Update leave monitoring and provide employees with updated balances of annual and sick leaves
  • Draw up employment contract / amendment
  • Check all staff timesheets on monthly bases
  • Prepare official letters (employee certificate, experience letters etc.) and any other documents requested from supervisor.
  • Update the HR data base and prepares the salaries
  • Writing meeting minutes of general staff meetings

 

 

Responsibility 2 : Contribute to the international personnel administration

Aim: Assist the HR Manager in ensuring that international staff files are complete and staff information is followed-up

Benchmark: Quality of individual files, adherence to deadlines, quality of monitoring charts

 

Activities:

  • File employee’s personal documents
  • Collect and check all HR forms received by the HR department (Leave request, advance request,…)
  • Provide employees with updated balances of annual and R&R leaves
  • Assist in checking all staff timesheets on monthly bases
  • Assist in preparing official letters (employee certificate, experience letters etc.) and any other documents requested from supervisor.
  • Assist in the international staff management by preparing the perdiem, the advance on salary, the child allowances,…

 

 

Responsibility 3 : Provide general administrative support to the HR department

Aim: Assist HR Manager in the main HR functions

Benchmarks: quality of support provided, reactivity and conformity with deadlines

 

Activities:

  • Prepare vacancy announcement
  • Coordinate interviews by scheduling interviews with candidates contacting and booking of interview rooms. Organise the required arrangement for the test and prepare the schedule
  • Communicate with unsuccessful candidate and inform the successful candidate and send the job offer
  • Announce the arrival of new staff to all staff
  • Assist on organizing the new employee on boarding
  • Organize the filing system by ensuring that all files are labelled, and old files are archived
  • Collect staff appraisal and draft the mission training plan in collaboration with the HR manager
  • Prepare and update monthly staff contact lists ensuring new staff are included and separating staff deleted from the list
  • Assist in the preparation of any required report
  • Prepare NSSF & MOF papers and follow up with the social security and income taxes department.
  • In charge of the visa process and work permit process for expatriate staff and visitors.

 

 

 

Note that this job description must remain flexible, to respond to additional tasks or changes as identified by the line manager.

 

THE SUCCESSFUL CANDIDATE will have:

 

  • Fluent in English and Arabic (French a plus)
  • Excellent communication, diplomacy and negotiation skills
  • Good organizational skills            
  • Good oral, written communication and presentation skills
  • Autonomous in using the basic functionalities of Microsoft Office; Word, PowerPoint, Outlook
  • Excellent typing skills especially in Arabic

 

EDUCATION AND EXPERIENCE:

 

  • Degree in Human resources management or any related field
  • Minimum experience in Human resources (at least 2 years).
  • Previous work experience with I/NGO.
  • Payroll management
  • Personnel administration
  • Familiarity with expatriate employment terms and conditions of engagement
  • Management of a recruitment process
  • Implementation of training plan
  • Legal knowledge of employment legislation and

social law

Basic salary range for the position : Between 1150 to 1225 $ based on experience and according to HI salary Grid
