General objective of the position:
Under the line management of the Assessment, Monitoring & Evaluation and Learning (AMEL) Coordinator, the Information Management Officer (IMO) is responsible for all data management within the mission.
S/he must ensure the smooth running of the data collection, entry, analysis and reporting aspects of the data management process. This includes overall responsibility for centralizing data questionnaires from field teams and applying a quality control process to ensure the quality and accuracy of the data before it is inputted in to the database.
S/he must also ensure, in coordination with the Project Managers and AMEL Coordinator that all relevant staff are adhering to the pre-defined data management processes.
The IMO is also expected to provide technical support in the development and management of relevant databases, and to utilize such databases for analysis and reporting purposes.
Tasks and responsibilities:
1. Database set-up and information management
- Ensure the functioning, update and maintenance of the databases compiling all info gathered by field teams regading projects implemented
- Maintenance and update of the software according to needs
- Adjust the database format if needed or create new databases according to needs
- Guarantee the accuracy of information contained in Database through regular supervision of the database assistant’s work
- Ensure safe keeping of all data produced
- Provide IT technical support to teams, according to needs
2. Data quality insurance
- Verify on a daily basis the information reported on the forms (paper or electronic versions) brought back from field (forms should be completely filled, information must be accurate consistent and reliable)
- Coordinate with the Program Managers if information is missing
- Double check that the information entered in the database strictly corresponds to the information reported on the forms by the field teams
- Keep responsibility of hard files and all documentation related to the project : clearly oranize and file the hard files once all quality checks have be done
- Guarantee the accuracy of information contained in database through regular cross-checking of the information to avoid gaps, overlap or duplication.
3. Data analysis and mapping
- Produce on request relevant information extracted from the database, such as statistical figures, mapping or pre-filled reports
- Using a GIS software, produce regular mappings of:

Any other relevant mapping according to needs
4. Reporting
- Maintain accurate records of data collected along the project.
- Write weekly activity and progress reports
- Participate to the elaboration of the monthly sitreps
5. Human Resources
- Support the database assistant through capacity building, regular follow up on his/her data entries and compilation.
- If necessary, liaise with other database officers of other potential partner organizations
- Ensure a good collaboration and close interaction with the field teams to ensure quality of data collection
