Logistics Assistant / Data Management

All tasks and decisions will be made in collaboration/cooperation with the Logistics Coordinator. Main activities/responsibilities  1.    Logistic tasks ·Global management of the Beirut office in term of Fleet management, purchase, stock management and general Logistics management. ·Ensure a smooth coordination and communication with the assistant logistician “operational”. ·Provide logistics support and advice to Program staff to ensure a smooth program implementation. ·Improve if needed the processes (purchases, stock management…), and ensure their application.  2.    Purchase management (electronic/written/mailing) in collaboration with the assistant logistician “operational” under supervision and as requested by Logistics coordinator: ·Prepare and manage all relevant format of the purchase process needed by the program and to respect Handicap International procurement procedures. ·Identify suppliers, and collect quotations (mailing + classification process) ·Ensure all the needed information are identified on the quotations (terms, delivery time, ...) ·Give all the document to the assistant logistician operational, who will undertake the payment (after validation process) ·Follow up the order/purchase until delivery (issue and collect and classifies  relevant document) ·Update and follow in a daily basis the purchase follow up, and spread it weekly to the programs team ·Issue purchase order with the correct reference ·Create purchase file and archive when it is complete ·Update the catalogue ·Make packing list and waybill for the items sent to HI projects ·Report any problem to logistics coordinator  3.    Stocks management (electronic management) ·Crosscheck regularly the data between deliveries from suppliers and programs data (donation certificates) ·Update and follow the stock management on A2S (ensure you will get all document needed from the stock by the assistant logistician “operational” )(if needed) ·Ensure the follow up of the equipment used on the mission (identification, inventory, affectation, equipment files) in liaison with the assistant log operational. ·Ensure that the equipment list is regularly updated, that the different certificates and labels are created.  4.    IT management ·Check the good use of computer and train people if needed ·Ensure the follow up of the maintenance contract for all IT equipment and for the  internet access.  5.    Visit and movement management  ·Booked hotel and flight ticket according to HI procedure ·Follow up the request and reservation ·Communicate with the assistant logistician “operational” all pick-up or dropping necessary  You may be asked to do other tasks by the Logistics Coordinator, in accordance with your abilities. The Logistics Assistant is not authorised to use Handicap international material/equipment for personal means. Required skills Essential The ability to integrate completely in the heart of a multi-disciplinary team. Organisational skills (planning, priority management, team management...)  Be rigorous, independent, honest, logical and have initiative  Ability to work under pressure, in unstable contexts Excellent computer’s skills. Desirable Knowledge of procurement. Negociation skills
