Assistant Coordinator

Organisational Contexthumedica has been working in Lebanon since 2012, and is currently funded by the German Foreign Office. humedica is running two Mobile Medical Units (MMUs), serving approximately 30 informal tented settlements (ITS) in the Bekaa valley, providing free primary health care and medication for Syrian refugees. In addition, humedica is supporting Primary Health Care Centers (PHCs) (under the administration of Ministry of Public Health) for both, Lebanese and Syrian patients.   Overall Role and Responsibility The Assistant Coordinator (AC) position operates under the authority of humedica Country Project Coordinator (PC) - Lebanon. He/She will assist the PC to ensure the overall co-ordination, planning, monitoring and management of the project activities. The PC is directly responsible for liaison, follow-up and follow through of all program matters being implemented by humedica in Lebanon. The AC will assist in working closely with local partners, in order to ensures that synergies supportive to the cooperation are fully harnessed for achieving program results. Main tasks and responsibilites include: Administrative and logistical support to coordinator (this may include typing assessment list, entering patient statistics, car rental, humedica apartment, office & equipment, etc.) Support the day-to-day running of MMUs and assist the PC in supervising staff Ensure proper reporting and prepare all monthly and weekly health reports (MoPH, HIS, AI, humedica tally sheets) Ensure accountability, transparency and evaluation of project activities as well as that national and international (security) guidelines and standards are being followed Under the supervision of PC, manage list of essential medicines for mobile clinic pharmacy, ensure regular inventory and prepare monthly order together with pharmacists and PC. Assist the PC to organize the overall Budget Management and Responsibility Represent humedica in Meetings, liaising with local government, UN agencies, the German Embassy, partner organizations, PHCs, etc. if needed Assist the PC in her post as PR focal point by managing delegation visits, provides input for reports for humedica homepage, assists in the management of journalists’ visits Awareness and knowledge of referral options and pathways Under the supervision of PC ensure Lebanese labor laws are being followed Under the supervision of PC ensure maintenance of HR records, including staff lists, staff files and the leave register and supports recruitment process Support head of office on all issues regarding humedica registration and MMU Bus registration in Lebanon Act as driver and translator for PC Replace field officer if absent In absence of the humedica coordinator, the post holder will ensure all humedica guidelines and protocols are fulfilled. He will also function as the security focal point in the field and is responsible for contacting the coordinators on any security- related incidents.  This job description is not exhaustive, the job holder may have additional tasks.
