Finance & Admin Officer

Position Summary

The Finance & Administration Officer is a key support role within the organization. Based in the Beirut office, the Officer is responsible for ensuring smooth financial, procurement, and administrative operations in alignment with organizational and donor standards. This includes managing daily finance tasks, supporting procurement processes, maintaining financial and reporting records, overseeing agreements with third parties, and ensuring the proper archiving of financial and administrative documentation.

 

Key Responsibilities

1. Finance & Accounting

  • Collect all invoices from suppliers and services providers with all supporting documents needed.
  • Perform daily financial data entry and update internal financial reporting systems (e.g., PIMS).
  • Ensure timely and accurate recording of grant related financial activities.
  • Process payments and maintain proper documentation for all transactions (Soft and Hardcopies)
  • Reconcile petty cash and bank accounts on a monthly basis.
  • Handle payments including NSSF and Ministry of Finance declarations.
  • Collaborate with the Finance & Admin Manager for monthly financial reporting and audits.

2. Procurement & Logistics

  • Support procurement processes from initiation to payment and delivery.
  • Assist in preparing purchase requests, quotations, and vendor/service provider evaluations.
  • Maintain and update a vendor database with both current and potential suppliers.
  • Ensure full compliance with INJAZ Lebanon and donor procurement guidelines.
  • Monitor and manage office supplies and ensure timely restocking.

3. Agreements Management

  • Draft and manage contracts and agreements with third parties.
  • Collect and maintain complete documentation for all contractual relationships.
  • Ensure agreements tracking sheet is regularly updated.
  • Monitor the validity and renewal needs of all agreements.

4. Inventory Management

  • Maintain accurate inventory records using tracking tools.
  • Conduct monthly physical inventory checks and reconciliations.
  • Ensure asset management processes are followed.

5. Administrative & HR Support

  • Collect and organize HR and admin documents such as timesheets, attendance sheets, salary slips, contracts, and leave forms.
  • Ensure systematic filing of financial, HR, and administrative documents (both soft and hard copies).
  • Provide logistical support and attend events, workshops, and internal meetings.
  • Participate in team meetings and other organizational activities.
  • Perform other duties as assigned by the supervisor.

Required Qualifications & Skills

  • Bachelor’s degree in Business Administration, Finance, Accounting, or a related field.
  • 2–3 years of relevant experience, preferably within the NGO sector.
  • Strong organizational and multitasking skills.
  • High attention to detail and a commitment to data accuracy.
  • Proficiency in Microsoft Office and accounting systems.
  • Trustworthy and detailed oriented.
  • Strong interpersonal and communication skills in both Arabic and English.
  • Demonstrated interest in youth development and INJAZ Lebanon’s mission.
  • Has a car.
