Position Summary
As a Finance & Administration Officer, you will be based in INJAZ Lebanon Beirut office and responsible of:
Performing accounting transactions and bookkeeping
Supporting the organization’s financial management
Assisting in human resources matters
Office management in terms of suppliers, legal matters and filing
Events logistical support
The Finance & Administration Officer will be reporting to the Finance & Administration Manager based in Beirut office.
Responsibilities
Accounting:
Performs transactions including purchases, receipts and payments
Handles Beirut petty cash
Ensures filing and bookkeeping of accounting transactions
Prepares invoices, receipts and payments
Financial Support:
Coordinates with team members to gather all financial and admin data
Support preparation of annual budget for INJAZ Lebanon, for donors and projects
Supports the Finance & Administration Manager in preparing financial reports, monthly or as needed including reports to donors and to the Board of Directors
Supports the Finance & Administration Manager in updating the Financial Manual of the organization
Human Resources:
Assists in staff related matters (gathering timesheets, updating annual leaves, preparing attestations, etc …)
Assists in the preparation and issuance of the payroll for staff members
Files NSSF and/or insurance forms for new comers and follows-up on the regular NSSF and Insurance formalities for all team members
Administrative Support:
Procures office and cleaning supplies
Manages suppliers’ contracts
Manages reception (telephones, couriers, incoming mail and material)
Reminds and insures that staff members are regularly updating their back-ups on the server
Provides assistance with travel arrangements and travel reports (tickets, hotel bookings, petty cash and reimbursements)
Manages administrative and accounting files and database systems
Handles the procurement function in terms of material bidding, purchase, receipt, storage and follow-up and other related items purchases that include office stationary, services and supplies
Others:
Attends team meetings
Undertakes other related duties, as assigned or requested by the Finance & Administration Manager
Position Qualifications:
Required:
* Bachelor’s degree in Accounting, Business Management or equivalent
* 1 - 2 years’ work experience in accounting and basic HR
* Strong oral and written communication
* Strong organization and planning skills
* Trustworthy and detail-oriented
* Computer literacy
* Self-motivation and an entrepreneurial attitude
* Sincere interest in the mission of INJAZ Lebanon
* Excellent English and Arabic
