POSITION TITLE: Program Coordinator
STATUS: Full-Time
STARTING: July 2014
REPORTING TO: Program Manager
KEY ROLE:
Organize and follow-up on program implementation in schools and universities in selected areas including on site follow-up, correspondence and data management.
Help recruit and train business sector volunteers.
Help organize partners’ recognition events and other INJAZ events as needed.
PRIMARY RESPONSIBILITIES
Schools Follow-Up
Follow-up with schools on a weekly basis through classroom visits, emails and calls to ensure smooth running and quality delivery of all programs.
Organize and gather required documentation from schools (MOU, student attendance, evaluation questionnaire).
Gather testimonials from students and school representatives.
Assist the Program Manager in increasing numbers of enrolled schools and students in schools, this includes conducting presentations to recruit new schools and filling the agreement to ensure quality implementation.
Volunteers Follow-Up
Maintain positive relationships with volunteers and sustain regular follow-up and coaching through phone calls, class visits and feedback meetings before the first session, during delivery and after last session.
Assist the Program Manager in recruiting new corporate volunteers through meeting, presenting, filling applications, screening and selection.
Gather testimonials from volunteers and surveys results as needed.
Program Quality and Growth
Learn about each INJAZ program and the requirements to ensure a quality implementation.
Help organizes regular mid term focus group sessions with volunteers and schools.
Assist in analyzing evaluation questionnaires and organizing student and volunteer data.
Participate in the development, adaptation, translation, printing and piloting of programs.
Ensure availability of all program materials and coordinate with the schools and volunteers.
Training/Events/PR
Assist in organizing and delivering volunteers training programs. Help secure location of training rooms, prints orientation/training materials, organize logistics and support delivery.
Assist in organizing partners’ recognition event and student competition. Help secure location of training rooms, prints orientation/training materials, organize logistics.
Contribute to the execution of the organizational marketing plan (media communication, brochure, newsletter, website) by sharing program stories and testimonials.
Administration/Data Management
Compose, draft and edit necessary correspondence to schools, universities and volunteers.
Contribute to program documentation and filing. Maintain a database of schools, volunteers and students participating in the program.
Support the INJAZ team in preparing a yearly plan for programs implementation.
Deliver reports of program implementation as needed.
Attend all team meetings and other meetings when necessary.
Support budget expectation by recycling, reusing and restocking program materials.
EDUCATION/EXPERIENCE/SKILLS REQUIRED
Bachelor degree in Business Administration/Other relevant field or equivalent.
2+ years professional experience.
Excellent English and Arabic spoken and written skills. French is a plus.
Excellent interpersonal and communication skills.
Good organizational skills, able to prioritize workload, proactive approach to meeting deadlines with limited supervision.
Proficiency in Microsoft Word, Excel and Power Point.
Highly organized and motivated, ability to multitask, complete tasks in a timely manner and work as a team member.
