Assistant & IM Officer

What We Do

The International Committee of the Red Cross (ICRC) works worldwide to provide protection and humanitarian assistance to people affected by conflict and armed violence. We take action in response to emergencies and, at the same time, promote respect for international humanitarian law. We are an independent and neutral organization, and our mandate stems essentially from the Geneva Conventions of 1949. We work closely with National Red Cross and Red Crescent Societies and with their International Federation in order to ensure a concerted, rational and rapid humanitarian response to the needs of the victims of armed conflict or any other situation of internal violence. We direct and coordinate the international activities conducted in these situations.

Purpose

The Assistant & IM Officer provides (high-level) administrative support oversees information management, under the supervision of the Executive Assistant & IM Officer. She acts as a reference person for written protocols, correspondence, and standard tools.

Accountabilities & Functional Responsibilities

Manages and coordinates the flow of information, ensuring that staff understand it and apply the appropriate institutional policies and procedures; sets and revises information-management and communication procedures. Implements, manages and monitors projects and programmes related to the Information Environment Strategy; briefs and trains users.

Manages and monitors collaborative spaces and databases, including access, and updates information in the reference tools; acts as a reference person for the ICRC intranet.

Drafts, reviews, compiles, edits and finalizes correspondence, presentations, decision-making documents, meeting minutes and other documents; ensures information is shared among users.

Receives and screens incoming calls, welcomes visitors and manages agendas.

Independently manages appointments and organizes internal and external meetings and events; represents the ICRC to high-level contacts and counterparts in the diplomatic corps.

Assists the management by updating the timeline, schedule and other tools.

Ensures staff are briefed and/or trained on information management, written protocols and correspondence, rules on signatures and the protection, use and storage of office supplies, records management, archiving, and information-management tools; ensures they comply with related rules and procedures. When not supervised by the Executive Assistant & IM officer:

Screens, prioritizes, dispatches and follows up on requests, calls and correspondence; has an overview of the delegation's activities and takes into account its priorities and challenges when making decisions.

Is a member of the management or coordination team; participates in discussions and follows up on the implementation of decisions and strategies.

Flags issues and delays; produces and updates the timeline, schedule and other tools.

 

Certifications / Education Required

Bachelors’ degree in Business Management or any relevant field.

Office management.

 

Professional Experience Required:

3 - 5 years’ of professional experience in assisting high level professionals preferably C level.

2 years experience in providing trainings

 

Desired Profile And Skills

Strongly motivated by humanitarian work

Able to work under pressure in a potentially dangerous environment

 

Language

Arabic: Fluent.

English: Full Professional working.

French: an asset.

 

What We Offer

Salary Package: 2’037 – 2’926 USD/Month (As per ICRC salary scale, salary setting processes will determine fair setting in coherence with the qualifications of the applicant and the requirements of the job).

13th Month of salary paid in December, pro rata basis in accordance with the period worked.

Annual Leave: 20 calendar working days of paid leave per year, pro rata basis in accordance with the period worked.

Health Insurance: 90% of premium fees under class B, coverage include: Doctor visits, Medicines, Therapy services, etc.

International Retirement Saving Plan (IRSP): a contribution valued at 11.5% of your monthly salary, these savings are paid by the end of service as a lump sum.

Other benefits subject to internal rules and regulations: High Cost of Living Allowance (HCLA), Schooling allowance, eyeglasses, designated personal training budget for learning opportunities.

 

Additional Information

Location: Beirut, Lebanon.

Working Schedule: Monday to Friday, from 8am to 5pm.

Type of contract: Fixed Term, 1 year (Renewable based on performance and need for position).

Estimated start date: February 10, 2025
